Create and Manage Custom Roles

In Clio, custom roles enable precise control over user access to firm and client information. When creating a new custom role, you can start from scratch and edit each permission category individually or select a role to start with a set of permissions which you adjust for your specific needs or as responsibilities change. Role templates include both built-in and custom roles with built-in role templates inheriting non-configurable permissions.

Create custom roles

You can create a custom role from the Users page in Clio Admin or from the Roles and Permissions page. After you create the custom role, refer to Assign and Unassign Roles to apply these permissions to Clio users at your firm.

  1. Go to Settings > Roles and Permissions.
    • The roles dashboard will open in a new tab or window
  2. Select New Role in the top right corner.
  3. Under Role details, enter a Role name and a Role description.
  4. Optional: Select an existing role as a template under Choose a role template.
  5. Use the left navigation pane to select each of the various permissions "areas" (Contacts, Matters, Financials, etc.), then use the toggles and dropdowns to configure the role's permissions. Learn more about the various permissions and what they mean in Overview of Custom Role Permissions.

    Note: Standard role templates inherit non-configurable permissions. Refer to Roles and Permissions in Clio Manage to learn about non-configurable standard role permissions.
  6. Click Create custom role.

 

Edit custom roles

Edits to custom roles are effective immediately. The user can refresh their window to see permissions updates. You can edit a custom role from the Users page in Clio Admin or from the Roles and Permissions page.

  1. Go to Settings > Roles and Permissions
  2. In the Action column, click the pencil icon.

    Tip: You can also duplicate standard roles and adjust permissions as responsibilities change.

  3. Use the left navigation pane to select each of the various permissions "areas" (Contacts, Matters, Financials, etc.), then use the toggles and dropdowns to configure the role's permissions. Learn more about the various permissions and what they mean in Overview of Custom Role Permissions.

  4. Click Update Role.

 

Duplicate custom roles

If you need to create a role that is similar to another, you can duplicate it before making the needed edits. You can duplicate a custom role from the Users page in Clio Admin or from the Roles and Permissions page.

  1. Go to Settings > Roles and Permissions.
  2. Click the three vertical dots next to the role name.
  3. Select Duplicate Role.
    • Update the role name and description.
  4. Use the left navigation pane to select each of the various permissions "areas" (Contacts, Matters, Financials, etc.), then use the toggles and dropdowns to configure the role's permissions. Learn more about the various permissions and what they mean in Overview of Custom Role Permissions.
  5. Note: Standard role templates inherit non-configurable permissions. Refer to Roles and Permissions in Clio Manage to learn about non-configurable standard role permissions.
  6. Click Create custom role.

 

Archive custom roles

You can archive a custom role from the Users page in Clio Admin or from the Roles and Permissions page.

  1. Go to Settings > Roles and Permissions.
  2. Click the three vertical dots next to the role name.
  3. Select Archive.
  4. When the warning prompt appears, select Archive.
