In Clio, you can pause workflows for approval before steps that need a person's judgment. Firm policy remains within the process, and an administrator confirms each sensitive action before it occurs. The result is a run record that includes each approval decision.
Understand workflow approvals
You can add a Human approval step to pause a workflow run until an administrator approves or rejects the action. Any administrator at the firm can approve or reject a workflow action. A run waits for approval in these instances:
- The workflow includes a Human approval step.
- A step deletes a record.
- A step sends a message or document to a client, such as a client portal message, a shared document, or a Clio Grow payment link.
- A step creates records in bulk. A bulk step creates up to 100 records by default.
Add human approval step
You can add an approval step at any point where the firm wants a person to review the work before the workflow continues, such as before assigning a task or saving a document to a matter.
- Go to Automations > Workflows > Saved Workflows.
- Select the workflow name.
- In the chat box, describe where the approval belongs, for example Ask for approval before creating the follow-up task.
- Select the arrow to send the request.
- Review the Overview to confirm the Human approval step sits in the right place.
- Select the Human approval step.
- In the Config tab, use the Description to guide what the approval message covers.
- Select Save workflow.
- The agent writes the final approval message based on the work in the run.
Approve or reject a workflow action
Administrators can find Workflow Actions waiting for approval in the Today window. Each approval includes a message that describes the action. Before approving, review the message closely. The action runs on the firm's real data. Approvals are also listed in the run record and in the Test tab during a test.
- In the sidebar, go to Today.
- Under Top Priority, select the workflow approval.
- Read the approval message.
