Permissions and Billing Rates

Firms protect financial data and keep bills accurate by controlling who can access bills and the rate values for each timekeeper's work. The billing permissions determine which users can create, view, and manage bills. A default billing rate applies to a firm's users' time entries when no other rate in the billing hierarchy applies, and billing rate visibility determines who can see firm-wide rates. You can configure these settings to help keep bill access and rate information secure and consistent across your firm.

Note: Only administrators can change other firm users' permissions.

Manage billing permissions

You can access bills in Clio only if you have the billing role assigned on your user account. Without this permission, you cannot create, view, or manage bills. Follow the steps below to add or remove a user's billing permissions.

Note: Only administrators can change other firm users’ permissions.
  1. Go to Settings > Manage Users.
  2. Click Edit below a user’s name.
  3. Scroll down to Roles and select Billing. If the firm uses custom roles, select a role with bills and trust requests access.
  4. Click Save New Information.

 

Change billing rate

Any user can change their own billing rate. Administrators can change billing rates for any firm user.

  1. Go to Settings > Profile.
  2. Scroll down to the billing rate field(s) and enter your billing rate(s).

    Note: If the firm uses multiple currencies, you can set a billing rate for each currency.
  3. At the bottom of the screen, click Save New Information.

 

Change billing rate visibility

Billing rate visibility controls whether a user sees all firm users' billing rates, only their own, or none, when creating or editing time entries.

Note: Only administrators can change other firm users’ billing rate visibility.
  1. Go to Settings > Manage Users.
  2. Click Edit below a user’s name.
  3. Scroll down to Billing Rate Visibility and select the access level.
  4. At the bottom of the screen, click Save New Information.

 

Understand billing rate visibility

Once set, billing rate visibility can limit access to your or all user billing rates when you view billing preferences, financial data on Matter Dashboards, and activity details.

Billing Preferences:

If billing rate visibility is restricted for your user profile, you will not be able to view billing preferences when you create or edit a matter or contact.

Matter Dashboard:

With billing rate visibility restrictions, the financial section of the Matter Dashboard (Work in Progress, Outstanding Balances, Matter Trust Funds) will not be visible to you.

Activities:

None: You will see an asterisk (*) instead of user rates when viewing activities.
Own: You will see your own rate, but an asterisk (*) will replace the rates of other firm users.
All: You will see all user rates without restrictions.
