In Clio Manage, you can edit contacts one at a time, convert a contact between the person and company types on the same form, and delete contacts your firm no longer needs. Current contact records let you send bills to the right client, keep matter numbering accurate, and rely on your conflict check results. Deleting a contact releases its notes, client portal, and Clio for Co-Counsel access, while bills, matters, transactions, and payments stay in Clio Manage without a contact attached.
Tip: Click Recents in the Clio Manage header to return to a contact you worked on recently.
Edit a contact
If you update a client name and the matter numbering for that client's matters contains the name, edit those matters so the numbering matches. Refer to Edit and Duplicate Matters.
Note: If your firm uses QuickBooks Online and contact information returns after you save your changes, remove that information in QuickBooks Online first.
Change contact information
- In Clio Manage, click Contacts, then click Edit beside the contact name. You can also search for the contact, open the record, then click Edit contact.
- Make your changes.
- Click Save contact.
Change a contact type between person and company
Clio Manage provides two base contact types, and you can convert a contact from one to the other at any time.
- In Clio Manage, click Contacts, then click Edit beside the contact name.
- Select Person or Company.
- Click Save contact.
- Converting a contact to a company adds the Employees section to the record, where you link the person contacts who work there.
Understand what deletion removes
Review what a deletion affects before you remove a contact, because the outcome depends on which route you use. You can view a record of which user deleted each contact from the Firm Feed on your Clio Manage dashboard.
- Released with contact
Contact notes, client portal access, and Clio for Co-Counsel access.
- Retained in Clio Manage
Bills, matters, transactions, and payments. These records remain in your account without a contact attached.
- Recoverable for six months
Contacts deleted from a contact record or from the contacts table. Refer to Recover Deleted Contacts.
- Permanent
Contacts deleted with the bulk operations tool. Confirm your selection in the preview before you run the operation.
Delete contacts
Choose the route that matches how many contacts you are removing and whether you need the deletion to stay reversible.
- In Clio Manage, click Contacts, then click Edit beside the contact name. You can also search for the contact, open the record, then click Edit contact.
- Click Delete contact.
- Select the check box to confirm the action, then click Delete contact.
Users with administrator permissions can remove several contacts at once from the contacts table.
- In Clio Manage, click Contacts.
- Select the checkbox next to each contact you want to remove.
- Click Delete contacts.
- Select the check box to confirm the action, then click Delete contact.
Administrators and the primary subscriber can use the bulk operations tool to clear all contacts from the account or remove identical duplicates. To access the bulk operations page, use the link provided in step 2.
Remove Duplicate Contacts applies to identical duplicates. Duplicate contacts associated with matters, related matters, employees, transactions, notes, or communications remain in your account, and you can combine those records manually instead.
Important: Contacts removed via the bulk operations tool remain deleted. The Recovery Bin does not retain them. Review the preview in step 7 before you confirm.
- Log in to Clio Manage as an administrator.
- Open the bulk operations page for your region:
- Click Add.
- Select Remove ALL Contacts or Remove Duplicate Contacts.
- Optional: Select Exclude clients to keep contacts that have matters.
- Click Generate Preview, then wait for State to change from Preview Queued to Preview Completed.
- Click Preview and review the entries listed for deletion.
- Click Confirm Deletion.
- Click Perform Operation.
- Click OK in the warning window to start the deletion.
