Manage Documents in Clio Manage

You can manage the documents and folders you add to Clio Manage by editing details, copying files, moving items to new locations, and updating versions.

 

Copy a file in Clio Manage

You can copy a document to quickly duplicate a file for use as a template or as a starting point for a new document. The copied file defaults to the same folder as the original and is named, for example, [COPY] original file name.

Important: Medical records cannot be copied.

Note: When you copy a file, the new file includes the content and metadata of the original file, and inherits the destination folder's permissions. The copy does not include audit history, version history, sharing activity metadata, or e-signature activity metadata.

  1. Go to the main Documents tab and navigate to the document you want to copy.
  2. In the Actions column, click the more icon (vertical ellipses), and then click Create or generate > Create a copy.
  3. In the modal, make the necessary updates to the file name, matter, document location, received date, and category.
  4. Click Create.

 

Edit file or folder details in Clio Manage

Note: The edit functionality in these steps is limited to editing file or folder details. If you need to edit the document itself, make your edits on your computer and then add a new version to Clio, or edit the document using Clio Editor or Clio Drive.

  1. Go to the main Documents tab and navigate to the document or folder you want to edit.
  2. In the Actions column, click the more icon (vertical ellipses), and then click Edit details.
  3. In the modal, update the details.
    • For documents, you can change the file name, status (e.g., Draft, In review), the type of document, the author, the date the document was received, and the tags (up to 10) added.
    • For folders, you can change the folder name and category.
  4. Click Save changes (for documents) or Save (for folders).

Note: While viewing a document, you can also change some of the details in the Details panel. Specifically, you can change the document's Status, Category, and Classification, as well as the tags attached to the document.

 

Move files or folders in Clio Manage

After adding a new file or folder to Clio Manage, you can move it from its current location to a new location if necessary. You have the option to move files or folders individually or in bulk.

Note: Contact or matter folders cannot be moved.

  1. Go to the main Documents tab and navigate to the document or folder you want to move.
  2. In the Actions column, click the more icon (vertical ellipses), and then select Move to.
  3. Navigate to the new folder and then click Move.

 

Lock and unlock a document

When more than one person works on the same document, changes can overwrite each other. Locking a document signals that you are working on it and prevents conflicting changes while it is locked. Anyone can lock a document, but only firm administrators can unlock it.

Note: This feature is available to select plans. Learn more about your plan's features. If you need to upgrade your firm’s plan, ask a firm administrator.

Lock a document

  1. Go to the main Documents tab and navigate to the document you want to lock.
  2. In the Actions column, click the more icon (vertical ellipses), and then select Lock.

A padlock icon appears next to the file name, and the Versions tab shows This file is locked.

 

Unlock a document

  1. Go to the main Documents tab and navigate to the document you want to unlock.
  2. In the Actions column, click the more icon (vertical ellipses), and then select Unlock.

 

Manage private documents

A separate storage location is available in Clio Manage for your private documents. You can access this location by clicking Private from the Documents page's navigation panel. You can use this storage location for documents you are still working on, or for files that are not relevant to a specific case. When a document is ready for your colleagues to see or to be added to a matter, you can move it to the relevant matter, contact, or firm location.

 

Add time to documents

  1. Go to the main Documents tab and navigate to the relevant document.
  2. In the Actions column, click the down arrow, and then click Add time.
  3. Complete the time entry details and then click Save entry.
