Import Contacts and Matters Into Clio Grow

Clio Grow's import template is a pre-formatted spreadsheet that structures your contact and matter data in the exact format required for import. Your firm can use it to import contacts and matters from a third-party application into Clio Grow. Carefully follow the steps in this article to reduce the risk of errors.

Important: Contacts and matters cannot be deleted in bulk in Clio Grow. Verifying your data before importing is essential. The import process does not check for duplicates, so any contacts already in Clio Grow must be removed from your import file before uploading.

Note: This article covers importing contacts and matters from a third-party application. If you use Clio Manage with Clio Grow, contact information imported into Clio Grow will automatically sync to Clio Manage. Matters in Clio Grow can be converted to Clio Manage.

What to know before importing

Before you import contacts and matters into Clio Grow, note the following.

Tip: Start with a small number of contact and matter records as a test import to confirm the process works as expected before importing the full data set.

  • If you want to include locations and custom fields in the import, add them to Clio Grow before you begin. 
  • The following custom field types cannot be imported into Clio Grow: dropdown/picklist, checkbox, contact select, and matter select.
  • If you want custom fields previously created in Clio Manage to be available during the import, sync Clio Manage custom fields to Clio Grow before continuing.

 

Prepare the import file

Always use Clio's CSV template when preparing your import file. Using any other template increases the risk of errors.

  1. Verify that your data is correct. Pay particular attention to the following common issues:
    • Duplicate contacts
    • Contacts with another contact's details
    • Data added to the wrong column
  2. Download the Clio Grow import CSV template.
  3. Enter your contact and matter information into the template using the following guidance.
    • Contacts
      • For person contacts, First Name and Last Name are required. All other fields are optional.
      • For company contacts, Company is required. All other fields are optional.
      • List company contacts before person contacts.
      • Multiple tags for a single contact should be separated using semicolons.
      • Emails, phone numbers, and website custom fields must not be hyperlinked. Save the document as a CSV before starting the import to avoid this.
    • Matters
      • Contacts can be imported without matter information, but to import matters, a contact's first and last name or company name is required for each matter.
      • If matter information is included, Matter Type, Matter Status, and Description are required fields.
  4. Review the completed file and remove the example and explanation rows from the template (rows 2 and 3), all rows providing information about the colour key in the header, any empty rows and columns, and the first column providing information about the first three rows in the original template.
  5. Remove any contacts already in Clio Grow from the import file. The import process does not check for duplicates.
  6. Save the file as a CSV to your computer.

 

Import the CSV into Clio Grow

  1. In Clio Grow, go to Settings, then click Import data.
  2. Click Import from spreadsheet.
  3. Click Select A File, then choose and upload your saved CSV file.
  4. Click Continue.
  5. Map the fields from your file to Clio Grow fields. The column on the left shows the column names from your file. Use the dropdowns on the right to map the appropriate Clio Grow fields. If you do not want to import data for a particular field, leave its dropdown unselected.
  6. Click Import Contacts and wait for the file to process.
  7. Once the file is processed, review the contacts to be imported. To remove a contact from the import, select the contact's checkbox, then click Remove Selected Contacts.
  8. Click Done to finalise the import.
