In Clio, custom roles enable precise control over user access to firm and client information. When creating a new custom role, you can start from scratch and edit each permission category individually or select a role to start with a set of permissions which you adjust for your specific needs or as responsibilities change. Role templates include both built-in and custom roles with built-in role templates inheriting non-configurable permissions.
Create custom roles
You can create a custom role and then assign it to users from the Users page in Clio Admin or from the Roles and Permissions page.
- Go to Settings > Roles and Permissions.
- The roles dashboard will open in a new tab or window
- Select New Role in the top right corner.
- Under Role details, enter a Role name and a Role description.
- Optional: Select an existing role as a template under Choose a role template.

Select the Edit section and check the boxes to configure permissions, and click Apply changes to save. Learn more about configurable permissions here.
Note: Standard role templates inherit non-configurable permissions. Review all non-configurable standard role permissions here.
- Click Create custom role
- In Clio Admin, click Roles & Permissions.
- Click + Custom role.
- Select New Role in the top right corner.
- Under Role details, enter a Role name and a Role description.

Optional: Select an existing role as a template under Choose a role template.
Select each permission category from the left navigation panel. Toggle the permissions in each category on or off as needed or make selections for dropdowns. Edit custom roles
Edits to custom roles are effective immediately. The user can refresh their window to see permissions updates. You can edit a custom role from the Users page in Clio Admin or from the Roles and Permissions page.
- Go to Settings > Roles and Permissions

In the Action column, click the pencil icon.
Tip: You can also duplicate standard roles and adjust permissions as responsibilities change.
- Select Edit section and check the boxes to configure the permissions, and click Apply changes to save.
- Click Update Role.
- In Clio Admin, click Roles & Permissions.
- In the Action column, click Edit.
- In the Role details section, edit the name and/or description and add or remove firm users as needed. Select each permission category from the left navigation panel and use the toggles to make changes and/or the dropdown to select different options. Within each section, changes save automatically. - Click Update Role.
Duplicate custom roles
If you need to create a role that is similar to another, you can duplicate it before making the needed edits. You can duplicate a custom role from the Users page in Clio Admin or from the Roles and Permissions page.
- Go to Settings > Roles and Permissions.
- Click the three vertical dots next to the role name.
- Select Duplicate Role.
- Update the role name and description.
- Click Edit sections to configure permissions.
- Click Create custom role.
- In Clio Admin, click Roles &and Permissions.
- In the Action column, click the more icon (three vertical dots) for the role you want to duplicate.
- Select Duplicate.
The duplicate of the role will appear in your list as Copy of [Role name]. You can then edit the role as needed.
Archive custom roles
You can archive a custom role from the Users page in Clio Admin or from the Roles and Permissions page.
- Go to Settings > Roles and Permissions.
- Click the three vertical dots next to the role name.
- Select Archive.
- When the warning prompt appears, select Archive.
- In Clio Admin, click Roles & Permissions.
- In the Action column, click Edit.
- Click Archive.
- When the warning prompt appears, click Archive.
