Monitor Workflow Runs

In Clio, every run of a workflow keeps a record of when it started, what each step did, and how it ended. The record identifies which work finished and which work needs attention. The result is a clear path to fix a workflow and run it again.

Find workflow runs

Runs are listed in two places. Workflow Runs lists the runs of every workflow at the firm. The Runs tab on a workflow lists the runs of that workflow only.

Find runs across the firm

  1. In the sidebar, go to Automations > Workflows > Workflow Runs.
  2. Filter the runs by date range, by the user who ran them, by trigger type, or by status.
  3. Select a run. The run opens in a side panel with its details, its system log, and its outputs.

Find runs for one workflow

  1. Go to Automations > Workflows > Saved Workflows.
  2. Select the workflow name.
  3. Select Details > Runs.

Understand workflow run results

Each run lists its result step by step, so the record explains exactly what the workflow did. The same layout applies to test runs in the Test tab.

Date, time, and status

When the run started and how it ended, for example Completed.

Source and user

How the run started and who started it, for example Manual and the user's name.

Step results

Each step, with its duration and a plain-language result. A skipped step includes the reason, for example a condition that took the No branch.

Output

A summary of the run, with links to the records the run created. Select Show more for the full output.

Note: Completed means the run finished. Read the step results to confirm which steps ran and which steps were skipped.

Understand run statuses

A run status describes where the run stands.

Queued

The run is waiting to start.

Running

The run is in progress.

Waiting

The run is paused for an approval.

Completed

The run reached its last step.

Partial

The run reached its last step, and one or more steps need attention.

Failed

A step stopped the run before it finished.

Cancelled

A user cancelled the run.

Interrupted

A system update stopped the run. To continue, run the workflow again.

Cancel a run

Cancel a run that is still in progress or waiting for approval. Steps that finished before the run was cancelled stay in Clio.

  1. Go to Automations > Workflows > Saved Workflows.
  2. Select the workflow name.
  3. Select Details > Runs.
  4. Select the run.
  5. Select Cancel run.

Fix a failed run

A failed run lists the step that stopped it and the reason. Fix the cause, then retry the run or test the workflow again.

Important: Retrying a failed run starts a new run from the first step. Steps that completed in the failed run stay in Clio and can run again, such as creating a second note. Check the matter for completed work before retrying.

Retry a failed run

  1. Go to Automations > Workflows > Workflow Runs.
  2. Select the failed run.
  3. Read the result of the failed step.
  4. Fix the cause, for example create the missing task list.

Change the workflow

  1. Go to Automations > Workflows > Saved Workflows.
  2. Select the workflow name.
  3. Request the change in the chat box, or edit the step in the Config tab.
  4. Select Save workflow.
  5. Test the workflow on a test matter.
