Manage Currencies

Firms with clients or matters billed in another currency need Clio Manage to track and bill that work accurately, instead of forcing every rate through a single currency. Clio Manage lets you add multiple currencies and choose how time and expense entries convert between a matter's billing currency and your firm's default. The result is a bill that reflects the currency your client expects, without manual conversion on individual entries.

Note: Administrators manage the default currency and add, edit, and delete currencies.

Change the default currency

Changing your default currency updates the currency symbol throughout Clio Manage. The change does not apply to activities, expenses, or payments already recorded under the previous default.

  1. Go to Settings > Billing > General.
  2. Scroll to Default currency and select the new currency.
  3. Click Save changes.

Note: You cannot change the default currency after you add another currency.

 

Add a currency

Clicking Add currency opens Add missing currencies, which detects currencies already in use in your firm's data and lets you configure them for multi-currency billing. Every value your firm already recorded is treated as the default currency.

Important: Once you add and use a second currency, multi-currency billing cannot be turned off, the added currency cannot be removed, your default currency locks, and the currency of an invoice cannot be changed.

Note: If your firm previously edited the currency symbol directly on individual bills, adding a currency ends that workaround. Editing a bill's currency never changed the currency of the underlying activity or expense, which stays recorded in your original default currency, so the mismatch surfaces once you add a currency and can no longer edit currency on bills. To keep historical data intact and bill a client in a different currency going forward, create a new matter for that client and set its currency in the matter's billing preferences.

  1. Go to Settings > Billing > General.
  2. Under Currencies, click + Add currency.
  3. Read the notice on the Add missing currencies modal, then check that I confirm that I have read the above and understand the consequences of my actions.
  4. Select the currency.
  5. Choose how to use the currency when recording time entries.
    • When it's a [Currency] matter billing preference, also record time in [Currency]: all time entries in a matter. Learn more about matter billing preferences in Create Matters. 
    • When it's a [Currency] matter billing preference, record time in the default billing currency:  
  6. Under How do you want to use this currency with expenses?, choose:
    • Bill expenses in this currency without converting: An expense entry on the matter stays in this currency and does not convert.
    • Bill expenses by converting them to the matter billing currency: An expense entry on the matter converts to the currency set in the matter's billing preferences, using a conversion rate you select: the market rate on the expense date, the market rate on the bill issue date, or a rate you provide when you record the expense.
  7. Click Add.

Tip: For example, a firm with a default currency of USD can add CAD as a currency. If that firm selects When it's a CAD matter billing preference, record time in the default billing currency every time an entry is created on a CAD matter, it converts to USD.

Note: If your firm integrates with a third-party accounting product, confirm your sync settings support multiple currencies before you add one here. Turn on currency features in QuickBooks Online or Xero. Confirm any other third-party accounting integration supports multiple currencies.

 

Edit a currency's options

You can update the options on any currency you added.

  1. Go to Settings > Billing > General, and scroll to the Currencies section.
  2. In the Other currencies table, click the pencil icon for the currency and update its options.

Important: Some changes overwrite matter billing preferences, and Clio Manage notifies you when they do. For example, switching a currency's time entries to record in the default currency clears any custom rate previously added to a matter that uses that currency. A notification banner then appears on that matter as a reminder to review its billing preference and update the custom rate.

 

Remove a currency

You can remove a currency your firm added as long as no records use it.

  1. Go to Settings > Billing > General, and scroll to the Currencies section.
  2. Click the trash can icon for the currency.

Note: A currency used for billing or accounting activities cannot be deleted, even after you delete the records created in it.
