In Clio Grow, you can add Zoom to an appointment type or to a single appointment. Every appointment booked with Zoom then generates its own meeting link. The join link is sent to the potential client with their appointment confirmation, so a virtual consultation is ready the moment it is booked.
Connect Zoom to Clio Grow
A Zoom connection covers the firm user who authorises it. Every firm user who hosts virtual appointments completes these steps with their own Zoom account. Connecting Zoom requires an existing Zoom account.
Connect a Zoom account
- Go to Settings > Integrations.
- On the Discover tab, go to the Video conferencing section.
- Under Zoom, select Connect.
- Sign in to Zoom and authorise the connection.
Disconnect a Zoom account
- Go to Settings > Integrations.
- Under Zoom, select Disconnect.
Note: Zoom meetings created before a disconnection remain valid because the meetings belong to the Zoom account. Appointments booked after a disconnection reach the firm user for a meeting link instead.
Add Zoom to an appointment type
An appointment type controls what happens for every appointment that potential clients book through Clio Scheduler, including appointments booked by Grow AI. Turning on Zoom for one appointment type leaves every other appointment type unchanged.
- Go to Settings > Calendar & appointments.
- Create a new appointment type, or open an existing appointment type and go to Appointment information.
- Under Video conferencing, select Make this a Zoom meeting.
- Select Next, then complete the remaining appointment type settings.
Important: The Description field is visible to every attendee. Clear any Zoom link entered manually there, so each potential client receives a single join link for the correct meeting.
Add Zoom to an appointment booked from a matter
An appointment booked from a matter covers a one-off consultation outside Clio Scheduler. The firm user selected in Firm users hosts the Zoom meeting, so that user needs a connected Zoom account.
- Go to Matters and open the matter.
- Select Schedule appointment.
- In Firm users, select the firm user who hosts the appointment.
- Under Video conferencing, select Make this a Zoom meeting.
- Complete the Scheduling section, keeping Send email to contact selected.
- Select Create appointment.
- In the Appointment Confirmation Email draft, keep the Video conferencing line in the body.
- Select Send email.
Important: The potential client receives the join link in the appointment confirmation email. Keep Send email to contact selected, and keep the Video conferencing line in the email draft.
When the selected firm user has no connected Zoom account, the Video conferencing section names that firm user, who connects Zoom before a meeting joins the appointment.
View Zoom meeting links
You can view a join link in four places, so both the potential client and the firm can reach the meeting from wherever they work.
- Appointment confirmation email
The potential client receives the join link on the Video conferencing line.
- Appointment notification email
The host firm user receives the join link.
- Matter page
The appointment entry carries a Zoom meeting link.
- Clio Manage calendar
The join link sits at the end of the synced event description.
Note: Appointment reminders sent by text message carry the appointment details. The join link reaches the potential client by email.
Cancel a Zoom appointment
Cancelling an appointment from the matter page releases the time and notifies the potential client. A cancellation applies to one appointment and leaves the appointment type unchanged.
- Go to Matters and open the matter.
- In the appointments list, open the actions menu for the appointment.
- Select the cancel option.
- Select Send cancellation.
The appointment entry keeps the Canceled status, and the Zoom meeting label remains as plain text. The potential client receives a cancellation notice.
