All firm users can create and edit time and expense entries for activities as long as they have access to view the matter. Matter permissions can be restricted by editing a matter. Additionally, some information in a matter’s Activities page may be masked or inaccessible to certain users if administrators at the firm restrict visibility to this information. Restrictions can be applied for billing rate visibility and activity hours visibility.

Edit activity categories permissions

All firm users can create activity categories in the Activities page. Specific permissions can be applied to each activity category depending on which firm user needs to use that category. You can apply specific permission groups to a new or existing activity category.

  1. Go to Activities > Manage categories.
  2. Click New category or click Edit next to an existing category.
  3. Under Permission groups, select which users or groups can have access to the category.
  4. Click Save category.

 

Change billing rate visibility

Billing rate visibility is a setting specific to time entries that restricts whether a user can view all firm users’ billing rates, only their own billing rate, or no billing rates.

Note: Only administrators can restrict other firm users’ billing rate visibility.
  1. Go to Settings > Manage Users.
  2. Click Edit below a user’s name.
  3. Under Billing Rate Visibility, choose one of the three options:
      • All: The user can see all firm users’ billing rates, including their own, when creating or editing time entries.
      • Own: The user can only see their own billing rate when creating or editing time entries.
      • None: The user cannot see any billing rates when creating or editing time entries. This includes the user’s own billing rate.
  4. Scroll down to Permissions and deselect Reports and/or Billing.
  5. Click Save New Information.
Important: If you restrict a user’s billing rate visibility and do not deselect these permissions, the user will be able to view other firm users’ billing rates when viewing bills and reports.

 

Set activity hours visibility

Activity hours visibility is a setting specific to time entries that prevents specific firm users from seeing time and billing details. Users will still be able to see the context of activities on a matter, such as matter details and activity description, but the quantity, billable amount, non-billable amount, and rate fields will be hidden when viewing the Activities page.

Note: Only administrators can restrict other firm users’ activity hours visibility.
  1. Go to Settings > Manage Users.
  2. Click Edit below a user’s name.
  3. Under Activity Hours Visibility, choose one of the two options:
      • All: The user can see all activity hours information.
      • Own and when acting as a matter’s responsible attorney: The user can only see activity hours for their own work and for matters where they are the responsible attorney.
  4. Scroll down to Permissions and deselect Reports and/or Billing.
  5. Click Save New Information.
Important: If you restrict a user’s activity hours visibility and do not deselect billing and reports permissions, the user will be able to view other firm users’ activity hours when viewing bills and reports.

 

Users with restricted billing rate and activity hours visibility

If you see asterisks (*) for information listed below the QTY, Billable, Non-billable, and Rate fields when viewing a matter’s Activities page, this means that you do not have permission to view this information or permission to delete these activities.

Depending on the information that is masked, an administrator at your firm applied a setting to your user profile that restricts your billing rate visibility and/or activity hours visibility. This means that you are only seeing information for your own work and/or for matters where you are the responsible solicitor.

Note: The totals calculated at the bottom of the Activities page are not complete representations of the firm’s total work. You are only seeing the total for information that is visible to you.
