Clio Connect is a secure online portal that co-counsel solicitors (external solicitors who do not have licenses on a firm's Clio Manage account) can use to access information for cases that they are working on with Clio Manage solicitors. This article explains all the actions available to co-counsel participants once they are logged into the portal.
Note: A Clio Manage user will need to set up the co-counsel portal before an external solicitor can access it. Learn more about setting up co-counsel portals here.
Co-counsel access
When a matter or resource is shared with co-counsel for the first time, they will be prompted to create an account. For each new resource shared, co-counsel can use that login information to view the resources in the secure online portal.
The home page in the portal shows an overview of everything that has been shared with co-counsel, as well as a series of tabs across the top of the screen that co-counsel can access for specific items. Click the gear icon in the Clio Connect dashboard to set up profile information. Co-counsel can update their name, profile picture, password, and time zone.
Switch between Clio Manage and Clio Connect accounts
If you were originally invited to participate as co-counsel on a matter prior to joining Clio, or if you currently have a Clio Manage account and need to work as a co-counsel for another firm that is using Clio as their practice management software, you can use the same email address for both accounts and easily switch between your Clio Manage and Clio Connect accounts.
- In Clio Manage, click your initials on the bottom left.
- Under Switch accounts, click your Clio Manage account name.
- Under Clio Connect, select your co-counsel account.
- You will automatically be taken to the co-counsel portal attached to the same email address that you used for your Clio Manage account.
- When you are ready to switch back to your Clio Manage account, click your initials in the upper right corner of the co-counsel portal, click your account name under Switch Accounts, and then select your Clio Manage account under Clio.
Change login email
If you need to change the email address that you use to log in to your co-counsel portal, you can make the change in your Clio Connect settings. Once changed, any information sent from the firm will be sent to your updated email address.
Note: Your new email address will not be updated in the contact card in the firm's account, but any correspondence sent from the firm will be sent to your new email address.
- Sign in to the portal.
- Click the gear icon in the top right corner.
- Under your current email address, click Change Email.
- Enter your new email address and your account's current password.
- Click Change Login Email.
- Open the Clio Connect email in your email inbox, click Confirm Email Change, and sign in to your co-counsel portal with your new email address to confirm the update.
View calendar
The Calendar shows all calendar events that the outside counsel is invited to. Click the event to view event details, such as descriptions, locations, the Zoom link if applicable, and more. Co-counsel can view calendar events shared with them, but co-counsel cannot create any calendar events.
View and complete tasks
When a firm user assigns a task to co-counsel, the task will appear in this section. Co-counsel can complete tasks and add time.
- Sign in to the portal.
- Select Tasks > Upcoming.
- Click Add Time to add billable time.
- Select Mark as Complete to complete the task.
View matters
This section shows matters that have been shared with co-counsel. Co-counsel can view essential matter and client details, matter notes, and matter communications such as phone and email logs.
Add time entry activities
In this section, co-counsel can add time entries for any work done on the matter that has been shared with them. These activities will appear in Clio Manage, where the firm user can add them to bills.
- Sign in to the portal.
- Select Activities.
- Click Add.
- Complete the time entry details and click Save.
Upload documents
Document files and folders that the firm shares with co-counsel will appear in this section. Co-counsel can preview, download, and add time to documents. Co-counsel can also upload documents and share them with the firm. To upload a document file or folder:
- Sign into the portal.
- Select Documents.
- Click New.
- Select File Upload or Folder Upload.
- Add the file, rename it, and then select Upload Documents.
- Optional: Click Add Time to add a time entry.
View and send communications
The communications tab contains all secure messages between the co-counsel and the law firm. Co-counsel can respond to messages, send new secure messages, print messages, and add time to messages directly from this page.
- Sign in to the portal.
- Select Communications or the inbox icon in the header.
- Click Add.
- Complete the message details.
- Click Send Message.
- Sign in to the portal.
- Select Communications or the inbox icon in the header.
- Click View message.
- Click Reply to respond.
- Enter the message details.
- Click Send Message.
