Manage AI: Schedule Events From Documents

With Manage AI activated in Clio Manage, you can select documents for Manage AI to extract key dates and events and draft events for you to review. Manage AI will review your uploaded files (including court notices, scheduling orders, and even handwritten meeting notes) to find and create events for your schedule.

Note: This feature is available to firms with Essentials, Advanced, and Expand subscriptions. If you need to upgrade your firm’s plan, ask a firm administrator. Learn more about your plan's features.

Start scheduling events from documents

You can initiate the AI Scheduling process from four main entry points. Manage AI uses a proactive detection and classification layer to identify when a recently uploaded document contains actionable dates and determines its specific legal purpose.

  • AI Launchpad: Navigate to the Manage AI gem, then click Schedule in the Schedule events from documents card.
  • Matter Dashboard (AI Actions): Manage AI proactively identifies recently uploaded documents that contain deadlines. Look for suggestions under the AI Actions card from a matter's dashboard.
  • Personal Dashboard: Go to your home page in Clio Manage (Dashboard > Personal Dashboard) to view high-priority matters where Manage AI has identified events ready for review.
  • Calendar: Click the down arrow next to New events and select Extract from a document.

 

Extract and schedule events

When you upload a document, Manage AI analyzes the content to classify the document type. This classification allows the AI to apply the correct logic for extracting dates specific to that document's legal context.

Note: Manage AI can analyse a wide variety of documents, including court notices, scheduling orders, and handwritten meeting notes, to extract deadlines and events.

Important: Manage AI Scheduling does not currently apply local court rules for counting days when calculating dates. Always check calculated deadlines against official court rules.

  1. Initiate the scheduling process from one of the entry points listed above.
  2. Under Extract from a document, select an open matter.
  3. Select the document type. Confirming the document type ensures the AI uses the most accurate classification logic for that specific file.
  4. Select a document or upload a new one. Manage AI can extract events from one document at a time.
    • PDF: up to 20 pages or 10MB
    • Documents: up to 20 pages or 10MB
  5. Click Extract events. Manage AI will extract events in the background.
    • You can wait on the page or, if the process takes a while, you can wait to receive an email notification that the draft events are ready for review. To open the list of events from your email, click Review events.
  6. Review the created events.
    • Hover over an event to see which part of your document was used to create the event and its details.
    • Events tagged as Calculated indicate that the event date was calculated relative to another event’s date.
  7. Optional: Click the pencil icon to edit the event details t, or click the X icon to remove events that are not needed.
  8. Optional: Click + at the top of the list to add an additional event.
  9. Optional: Click your name (your personal calendar) at the top of the list to select a different calendar or to add the events to the firm’s calendar in addition to the selected calendar.
  10. Click Create events.
    • If you use Automated reminders for the extracted events, you have the opportunity to review and adjust any reminders that were automatically added.
      • Use the pencil icon to edit reminders, or use the trash can icon to delete reminders that were automatically applied to extracted events.
      • Click Add reminders to create additional reminders.
  11. Click Add to calendar when you have reviewed and modified these reminders.
    • Manage AI will upload all confirmed events to your Clio Calendar simultaneously, creating them in a single batch.

 

Use Manage AI scheduling reminders

You can set up automated scheduling reminders so that Manage AI can intelligently identify which reminders may need to be added to the event the AI has extracted from documents.

 

Enable/disable automated scheduling reminders

  1. Click Calendar.
  2. Click More > Calendar settings.
  3. Select the Manage AI Scheduling Reminders subtab.
  4. Use the toggle to enable or disable scheduling reminders.

 

Create and manage automated scheduling reminders

Create Edit Delete

Manage AI’s automated scheduling reminders feature comes preset with recommended reminder workflows that may be useful to your firm. You can also create your own workflow.

  1. Click Calendar.
  2. Click More > Calendar settings.
  3. Select the Manage AI Scheduling Reminders subtab.
  4. Click + Create reminder rules.
  5. Fill the fields to create the automated reminder.
    1. Select the event type condition. You can select from Clio’s list of provided event types, or create your own.
    2. Select who to notify and the notification method. Click Add person to notify more than one person.
    3. Set how long before the event you want the reminder sent. Click + Add time to set more than one reminder.
  6. Click Add reminder workflow.

Your workflow will be added to your list of reminders.
