Clio Payment settings control where client funds deposit and how your firm's charges appear on client statements. From payment settings, you can add payout accounts, set the primary operating account, resolve verification details, edit the statement descriptor, and enable surcharging. Keeping these settings current supports accurate reconciliation, reduces disputes, and keeps payment processing active as your firm's banking details change.
Note: Administrators and users with the accounts permission can add payout accounts and set the primary operating account. Any firm user with access to payments can edit the statement descriptor.
Enable surcharging
Surcharging lets your firm recover card network fees as a business expense when billing clients. When enabled, clients who pay by debit or credit card incur a 1.75% fee plus a $0.30 fee, excluding GST, and your firm pays GST on the surcharge fee.
Note: Surcharging is not available for international credit card payments. You cannot pass on card fees for transactions using cards issued outside of Australia.
- In Clio Manage, click Settings > Online payments.
- Click Payment Settings.
- In the Payment methods card, click Manage payment methods. You can also click Payment methods from the left navigation pane.
- Toggle on Pass on card fees.
Add payout accounts and set the primary operating account
Payout accounts are your firm's real-world bank accounts, where Clio deposits payouts. After signing up, you can add payout accounts and choose which one serves as the primary operating account.
Note: When you add a payout account, its name updates to your financial institution and becomes available in Clio Manage once it is fully verified. You can select a primary operating account once you have at least two verified payout accounts.
Important: Payout account numbers remain fixed once an account is successfully added. You can correct a number only when it was entered incorrectly.
Add a payout account
- In Clio Manage, click Settings > Online payments.
- Click Payment Settings.
- Click Banking.
- In the Payout accounts card, click Add payout account.
Set the primary operating account
- In Clio Manage, click Settings > Online payments.
- Click Payment Settings.
- Click Banking.
- In the Primary operating account card, select the account to use as the primary operating account.
Note: The primary operating account receives payment deposits. Clio also uses it to debit transaction fees, chargebacks, outstanding balances, and any insufficient funds from other added accounts.
Update Clio Payments profile
After signing up, Clio may prompt you for additional verification details. Update the payments profile to provide those details and resolve any errors in your payment settings.
- In Clio Manage, click Settings > Online payments.
- Click Payment Settings.
- Click Payments profile or Manage payments profile
- Make the changes needed to resolve the errors.
Edit the statement descriptor
A statement descriptor is the text that appears on a client's credit card or bank statement to identify your firm. A recognisable descriptor helps clients connect the charge to your firm, which reduces the likelihood of disputes and chargebacks. For example, your monthly Clio subscription might show clio.com, which helps you quickly identify the charge as being from Clio.
The statement descriptor meets these requirements. It:
- Uses Latin characters only
- Contains five to 22 characters
- Includes at least one letter, and includes at least one letter in each part when you use a prefix and a suffix
- Provides more information than a single common term or website URL
- Excludes these special characters: < > \ ' " *
Note: Client statements reflect the statement descriptor active when the bill was generated. When you edit the descriptor after sending a bill, the client sees the previous descriptor, and future bills use the new one.
- In Clio Manage, click Settings > Online payments.
- Click Payment Settings.
- Click Payments profile or Manage payments profile.
- Under the Business details card, click Edit business details.
- Enter the new statement descriptor, following the requirements above.
- Click Save.
Note: When you connect an additional payout account, Clio may prompt you to confirm your identity. Learn how in Activate Clio Payments.
Disconnect Clio Payments
To stop using Clio Payments, contact Clio's Support team and state that you want to disconnect Clio Payments from your account. The primary subscriber or an administrator authorises the disconnection by email before Clio Payments is disabled.
