Cancelling a trust transaction corrects an error when a transaction was recorded incorrectly, since trust transactions cannot be edited. Cancelling reverses the original entry, creating a matching debit with the same receipt number, so you can then record a new, correct transaction. You can also download a cancelled transaction receipt to share with your client.
Note: This procedure applies to trust transactions and receipts recorded directly. A payment recorded against a trust request generally cannot be reversed this way. See Manage Trust Requests to delete or void a trust request instead.
Important: Cancelling a trust transaction is permanent. Clio does not delete the original entry. It adds an offsetting reversal so both remain visible for your audit trail. You cannot undo a reversal, but you can always record a further correcting transaction.
Cancel a trust transaction
- Go to the matter or contact where the transaction is recorded and click the Transactions subtab.
- Find the transaction you want to cancel. This procedure applies to non-receipt transactions (payments, transfers, deposits, cheque voids), which show View in the Actions column.
- Click the down arrow next to View and select Reverse.
- Select the date. The date must fall after your trust account's last reconciliation. If the transaction sits in an already-reconciled period, undo that reconciliation first. See Trust Reconciliation in Clio.
- Click Reverse.
After you cancel a transaction, record a new, correct transaction. See Record Trust Transactions.
Send a cancelled transaction receipt to a client
- Go to Accounts and select the relevant trust account.
- Select the Receipts subtab.
- Click View next to the transaction. The transaction shows a Cancelled stamp.
- Click Download to save a PDF copy to share with your client.
