Fixed Fee Entries

A fixed fee entry is a set amount your firm charges for a defined piece of work, such as drafting a will or filing a trademark application. Fixed fee entries are a type of activity, alongside time entries and expenses. You can add several fixed fee entries to a matter, and you can bill fixed fee entries alongside time entries (including fixed fee time entries—previously referred to as flat-rate time entries) and expense entries.

Clio Manage has two separate features labeled "Fixed fee". They work differently and appear differently on invoices.

  • Fixed fee entries: These entries are their own type of activity, like time entries and expense entries.
  • Fixed fee time entries: These entries are a type of time entry where you select the "rate" as "fixed rate" when you create the time entry. You can use the fixed fee time entry option if you want to log a time entry to a matter but mark it as non-billable.

When you create an invoice, the two types of entries will appear differently on invoices.

  • Fixed fee entries: On an invoice, the line item type will show "Fixed Fee" as the type and no quantity or rate information will be displayed on an invoice.
  • Fixed fee time entries: On an invoice, the line item type will show "Service" as the type with a quantity of 1 and the fixed fee rate displayed on the invoice.

 

Add a fixed fee entry

Important: To add a fixed fee time entry, refer to Time Entries.

  1. Go to Time & Expenses, or go to a matter and select the Time & Expenses subtab.
  2. Click Add entry and select Fixed fee.
  3. Fill in the details.

    Note: If you previously set up fixed fee categories, you can select one from the list to auto-fill the description and amount (and currency if your firm uses multiple currencies). The description will appear on the invoice.

  4. Click Save.

The fixed fee appears in the Time & Expenses table with the matter's time entries and expenses.

Note: You can also add a fixed fee from the global Create new + > Fixed fee entry.
