On the Clio mobile app, you can create and edit matters, and add events, activities, tasks, notes, documents, and communications to the matter. You can also view your recently edited and recently viewed matters from the Home screen.
Note: You cannot delete matters from the mobile app.
Create new matter
When creating a new matter on the mobile app, you can select an existing contact or create a new contact for the matter if one does not already exist, enter required matter details, choose matter permissions, add custom fields that are marked default and required, and enter basic billing preferences such as the billing method and any custom billing rates.
Note: You can only add the details listed above when creating a matter on the mobile app. If you need to add other matter form information, enter the data in Clio Manage from a web browser.
- Go to the Home tab.
- Click the + icon for the create new menu and select Matter.
- Enter the required matter details. Learn more about each section below.
- Click Save.
Matter form sections
When creating a new matter on the mobile app, the matter form contains four sections of information. See below for key details for each section.
Matter details
This section captures case-specific information, including the client for the matter and the matter description. If a contact does not already exist, you can create a new contact directly from the matter form.
- Open the matter and go to the Matter details section.
- Under Client, click Select contact.
- Click Create a new contact.
- Complete the contact details and then click Save.
Permissions
In this section, you can select which firm users and/or groups of users have access to this matter. If you select specific groups and/or users, only those groups and/or users will have access to the matter. Learn more about matter permissions here.
- Open the matter and scroll down to the Permissions section.
- Click either Everyone or Specific users or groups.
- If you select Everyone, all users on the account will have access to the matter.
- If you select Specific users or groups, click Select firm users or groups to choose which groups and/or users have access. Only the selected groups and/or users will be able to view the matter. When you are finished choosing groups and/or users, click Done.
- Click Save.
Custom fields
Custom fields are individualized fields of information relevant to the matter. When creating a matter on the Clio mobile app, you can add previously created custom fields and field sets that are marked default and required. If you need to add other custom fields or if you need to create new custom fields, you will need to access Clio Manage from a web browser. Learn more about creating custom fields and field sets here.
Note: You can only add custom fields that are marked as default and required from the mobile app.
- Open the matter and scroll down to the Custom fields section.
- If you have 10 or fewer custom fields, you can view all your default and required custom fields and add the relevant ones to the matter.
- If you have greater than 10 custom fields, click Edit custom fields to view all of your default and required custom fields and add the relevant ones to the matter. When you are finished, click Save.
- Click Save.
Billing preferences
In this section, you can specify the billing method for the matter. By default, the matter is billable based on the hourly billing rate specified in your user profile. You can also choose a different rate for each matter and specify whether matter billing is for a contingency or fixed rate case.
- Open the matter and scroll down to the Billing preferences section.
- Under Billing method, select whether the matter has hourly, contingency, or fixed rate billing. Learn more about contingency and fixed rate matters here.
- If you selected Hourly, click Add a custom billing rate to override your personal rate for this matter. You can add multiple custom billing rates for specific firm users or groups of users.
- If you selected Fixed rate, choose the firm user who will receive the fixed rate, the fixed rate category, and amount that the firm user will receive.
- If you selected Contingency fee, choose the firm user who will receive the contingency fee and the rate as a percentage.
- Click Save.
Edit matter
When editing a matter on the mobile app, you can edit the contact, required matter details, matter permissions, custom fields that are marked default and required, and basic billing preferences.
Note: If you need to change any other details, you will need to edit the matter in Clio Manage from a web browser.
- Go to the Home tab.
- Select the Matters tab.
- Optional: Click Filter matters to search by specific parameters.
- Find your matter by scrolling or using the search bar and then select the matter.
- Click Edit.
- Make your changes and then click Save.
Filter and sort matters
On the mobile app, you can filter matters by matter status (all, open, pending, or closed), client, responsible attorney, originating attorney, billable status, and practice area. You can sort matters by recently edited or have them appear in alphabetical order.
- Go to the Home tab.
- Select the Matters tab.
- Click Filter matters.
- Under Sort all matters, select how you want your matters to appear.
- Under Filter all matters, select your filter options.
- Click Done.
View matter details
When viewing matter details, you can view information entered on the Clio Manage desktop app, including contact, matter, and financial details. You can also view and add calendar events, time and expense entries, tasks, notes, documents, email logs, phone logs, and messages to the matter. You can access matter details from the Matters tab or from within a contact's details page.
- Go to the Home tab.
- Select the Matters tab.
- Find your matters by scrolling or using the search bar.
- Optional: Click Filter matters to further narrow your results.
- Click the matter to view detailed information.
- Go to the Home tab.
- Select the Contacts tab.
- Find your contact by scrolling or using the search bar.
- Optional: Click Filter contacts to further narrow your results.
- Click the contact to view detailed information.
- Scroll down to Related matters and click the matter's name.
View and create matter notes
You can create notes attached to a matter from the create new icon or when viewing a matter's details page.
- Go to the Home tab.
- Click the + icon for the create new menu and select Note.
- Complete the fields and click Save.
- Go to the matter's details page.
- Click Notes under Add to this matter.
- Complete the fields and click Save.
Change matter status
- Go to the matter's details page
- Click the three vertical dots in the upper right corner and select Update matter status.
- Select the new status.
