Manual appointments are appointments that you book on behalf of a client. Once created, the appointments appear in the matter's Intake process section. You can create manual appointments from a matter's Intake process section or by using the Quick Appointment button.
Tip: When creating appointments, you can add automated reminders that will be sent out automatically to clients to reminder them of their appointments. You can also set default automated reminders that will automatically be added to all new appointments. Learn more here.
Create manual appointments
- Go to a matter's Intake process section in Clio Grow.
- Click the Add single item dropdown and select Create New Appointment.
- If this is a singular appointment for which you are not using an appointment type template, manually complete the appointment details.
- You can also select one of your previously created appointment types under Appointment type.
- Complete the remaining appointment details, including title, description, any internal note, and the duration of the appointment.
- Under Appointment scheduling, select how the appointment should be booked:
- Choose any time: Select any date and any time for the appointment. The benefit of this option is that you can choose an odd start time such as 12:48pm. You can also notify your client of this appointment by checking the box for Send email to contact.
- Choose an available date and time: If you selected a previously created appointment type, you can only choose an available date and time specified for that appointment type. You can also notify your client of this appointment by checking the box for Send email to contact.
- Email scheduling link to contact: Instead of choosing a date and time yourself, you can send your client a scheduling link to book an appointment date and time.
- Under Automated reminders, select the reminder schedule for the appointment.
- You can add up to five reminders.
- Click the X next to a reminder to remove it.
- Click Create appointment.
- Complete the email template details and click Send Email.
- Your client will receive an email with a link they can click to schedule an appointment in your calendar. Clients can also edit or cancel appointments from the email.
Create Quick Appointments
When you create an appointment using this method, you can schedule an appointment and create a new matter and contact at the same time.
- In the Clio Grow header, click the down arrow next to Quick Intake and select Quick Appointment.
- Complete the contact, matter, and appointment details.
- Click Create appointment.
Edit appointments
When you edit an appointment that you created on behalf of your prospective client, both you and the prospective client will receive an email confirmation of the changes.
Important: You can only edit the appointment if you booked it on behalf of your client. If the prospective client booked the appointment through Clio Scheduler, you need to cancel it and create a new one or ask the prospective client to reschedule or cancel.
- Go to the matter.
- Under Intake process, find the appointment booking.
- Click the Options dropdown and select Edit Appointment.
- Make any changes and then click Update appointment.
Cancel appointments
When you cancel an appointment, both you and the prospective client will receive an email confirmation. If you created a manual appointment and want to cancel it, follow the directions below.
- Go to the matter.
- Under Intake process, find the appointment booking.
- Click the Options dropdown and select Cancel Appointment.
- When the warning prompt appears, select Cancel Appointment.
