Reports in Clio Manage are designed to help your law firm track deliverables and get insights into all aspects of how the firm is performing. Matter reports provide a comprehensive overview of matter listings, matters by responsible attorney, contact listing, and billing rate. See below for a summary of each matter report in Clio Manage and what type of information the report offers.
Matters report
The matters report is designed to give firms a detailed view of clients and matters. This report includes matter description, responsible attorney, originating attorney, last bill date, accounts receivable, whether the matter is billable, practice area, status of the matter, and the client’s name. When generated, this report includes the following categories:
- Client
- This column lists the name of the client attached to the matter and is sorted alphabetically by client last name.
- Matter
- This column lists each of a client's matters.
- Description
- This column shows the information entered in the Description field when a matter was created.
- Practice area
- This column shows the practice area for the matter. If a practice area was not selected, this column will be blank.
- Status
- This column shows the matter's current status. A matter can either be Open, Pending, or Closed.
- Responsible attorney
- This column shows the firm user currently responsible for the matter.
- Originating attorney
- This column shows the firm user that was selected as the originating attorney on the matter.
- Billable
- This column shows whether the matter is billable or non-billable.
- Accounts receivable
- This column shows the amount currently owed on an outstanding bill. This column will only show approved bills that have not been paid.
- Latest bill
- This column shows the date that the last bill was generated.
Matters by responsible attorney report
The matters by responsible attorney report is designed to give firms a quick view of matters grouped by responsible attorney. This report includes the client’s name and matter description. When generated, this report includes the following categories:
- Matter
- This column lists each of a client's matters.
- Client
- This column lists the name of the client attached to the matter. If a client was deleted or reassigned from a matter, you will see a blank space under this column. Clients are sorted alphabetically by client last name for each responsible attorney.
- Description
- This column shows the information entered in the Description field when a matter was created.
- No assigned responsible attorney
- This section appears below all of the matters with responsible attorneys and shows matters and clients that do not have an assigned responsible attorney.
Contact information report
The contact information report is designed to give firms a quick view of clients, their matters, and basic contact information. You can use this report to generate an email list. When generated, this report includes the following categories:
- Client name
- This column lists the name of the client attached to a matter. If a client has more than one matter, you will see their name listed again for each matter.
- Matter
- This column lists each of a client's matters.
- Primary phone number
- This column shows the client's first phone number or the phone number that is designated as the primary phone number.
- Primary email address
- This column shows the client's first email address or the email address that is designated as the primary email address.
Billing rate report
The billing rate report is designed to give firms an overview of custom billing rates for all matters. It shows matters, users, and the current client, matter, and user default billing rates. This report helps you identify which clients, staff, or practice areas bring in the most revenue and provides insight into the accuracy and effectiveness of your firm's billing rates. When generated, this report includes the following categories:
- Client
- This column lists clients with matters that have time and expense entries on file and is sorted alphabetically by client first name. Clients with multiple matters will appear multiple times.
- Matter number
- This column lists each of a client's matters and shows the matter number.
- Matter description
- This column shows the information entered in the Description field when a matter was created.
- User
- This column shows the name of the firm user whose billing rate is applied to the matter.
- Practice area
- This column shows the practice area selected when the matter was created. If no practice area was selected, this column will be blank.
- Rate type
- This column shows the rate type that you selected before generating the report. Selecting Default and custom rates will show user, client, and matter rates. Selecting Custom matter rates only will show only matter rates. Selecting Custom client rates only will show only client rates. Selecting Custom matter and client rates only will show the matter and client rates, but not the user's default rate.
- Each client row in the export will show the billing rate that the matter is using and is contingent on rate hierarchy. The rate hierarchy is as follows: User Matter Rate > User Client Rate > User Default Rate. This means that a custom billing rate set on the matter will always override custom rates on the contact and the user's default rate set in their profile. Learn more about rate hierarchy here.
- User's matter rate
- This column lists the custom billing rate added to the matter. This rate can be changed by editing the matter and going to the Billing preference section. If there is no custom matter rate, this column will be blank.
- User's client rate
- This column lists the custom billing rate added to the client's file. This rate can be changed by editing the contact and going to the Billing preference section. If there is no custom client rate, this column will be blank.
- User's default rate
- This column shows the default billing rate for the user who created the matter. This rate can be changed in Settings > Profile.
- Matter open date
- This column shows the date that the matter was opened.
- Originating attorney
- This column shows the firm user selected as the originating attorney on the matter.
- Responsible attorney
- This column shows the firm user selected as the responsible attorney on the matter.
