Manage AI: Draft Client Communications

Clio Manage with Manage AI works in the background to help you quickly draft professional client updates and responses. Based on recent activity in your assigned matters, the AI automatically drafts communications for the staff and lawyers responsible for those matters. This ensures accuracy and a professional tone for every client communication.

Important: The suggested client communications are visible only to firm users assigned to the matter as the Responsible staff or Responsible lawyer. Only these users can review and send the drafted communication.

Note: This feature is available to firms with Essentials, Advanced, and Expand subscriptions. If you need to upgrade your firm’s plan, ask a firm administrator. Learn more about your plan's features.

Generate proactive drafts (AI Actions)

Manage AI monitors case activity (completed tasks, uploaded documents, stage changes) and recognises when a client update is warranted. These drafts are surfaced as AI Actions.

Note: Drafted communications are accessible for 1 day from the time they are generated. The data used for the draft is capped (e.g., a maximum of 50 recent/upcoming tasks, documents, and events).

Review and send drafts

  1. Go to Matters and click the matter name.
  2. Review the AI Actions card on the Matter Dashboard.
  3. If a new communication is suggested, click the card to open the email draft, which is populated with relevant matter context.
  4. Review the draft, make any necessary adjustments to the tone or content, and click Send.

 

Get drafting assistance via Chat (Help me write)

You can use the chat panel to request a draft or modify a message you have already written.

Request a draft

  1. Access the AI Launchpad by clicking the Manage AI gem icon in the main navigation bar.
  2. Select Help me write and choose an option:
    • Write a letter
    • Write an email
    • Rewrite a paragraph
  3. Provide the necessary information, and Manage AI will generate the requested draft.

 

Modify and refine drafts

You can also use the chat to modify existing text:

  1. Start an initial draft in any text field (e.g., a Client Portal message).
  2. Click Help me write to ask Manage AI to refine the message according to your instructions (e.g., "Make this sound more formal").
  3. Click Refine to provide additional information on how you want Manage AI to adjust the message.

 

Quick Responses in SMS messages

Manage AI can suggest responses to client text messages in the Communications tab.

Tip: You can also get Manage AI to suggest a response in the Clio Mobile App.

Use suggested responses

  1. Go to the main Communications tab or the Communications subtab for a contact or matter.
  2. Select the Text messages subtab and click the message thread you want to respond to.
  3. Choose a response option:
    • Quick response: Select to draft a brief, typically 3 to 4-word message.
    • Suggest response: Select to generate a longer, more detailed, context-based reply.
  4. Review the text and click Send.

 

Suggested replies in Outlook

Manage AI can provide suggested replies via the Clio Outlook Add-In.

Use suggested Outlook replies

  1. In Outlook, open the email thread.
  2. From the add-in, select the Reply subtab.
  3. Optional: To configure suggestions, click the gear icon, select the desired tone and length, and click Update suggestions.
  4. Click Copy to use the suggested reply in your email.
