Set Up and Manage Clio Work Access

Managing who has access to Clio Work and when is a critical configuration step before your firm begins using Vincent AI for research and document analysis. Administrators can activate Clio Work, assign licenses, and opt out of the service at any time. This article covers both trial types and how each affects access and licensing. 

Understand your Clio Work trial

Clio Work is available through two trial types. The trial available to your firm depends on your account's eligibility and enrollment method. Review the sections to identify which trial applies to your firm.

30-day trial

Eligible Clio Manage accounts in the US are automatically enrolled in a free 30-day Clio Work trial. No action is required to activate the trial, and all Clio Manage users receive access to Vincent AI simultaneously. Role-based guided tours are available on enrollment to help your team get started based on their role.

Note: The 30-day trial is available to US-based Clio Manage accounts with a first invoice date more than 30 days ago. Existing Clio Work customers and accounts outside the US are not eligible. Once a firm has trialed Clio Work, the account is ineligible for another trial for one year.

14-day trial

Firms can opt in to a free 14-day Clio Work trial from a matter dashboard or the Manage AI panel. Administrators must manually assign licenses to individual users before they can access Vincent AI.

Important: At the end of the 14-day trial, users who are still assigned Clio Work licenses will be automatically converted to paid users. Set a reminder to review your license allocations before the trial ends. To cancel, see Opt out of Clio Work below.

Both trial types include full access to Clio Work and Vincent AI for the duration of the trial period. Review the tabs below for a full breakdown of what is and is not available.

Important: HIPAA compliance for Clio Work requires a separate add-on and is not included in either trial. Do not treat your Clio Work trial as HIPAA-compliant without confirming the add-on is active on your account.

Activate your 14-day Clio Work trial

Administrators can start a 14-day Clio Work trial from a matter in Clio Manage or from the Manage AI panel. 

From a matter

  1. In Clio Manage, click the Matters tab and select any matter.
  2. From the matter dashboard, locate the Clio Work card and click the down arrow to expand it.
  3. Select Start free trial.
  4. Agree to the terms of service and select Start my 14-day trial.

 

From Manage AI

  1. In Clio Manage, click the Manage AI logo in the header bar.
  2. For Clio Work, select Try for free.
  3. Agree to the terms of service and select Start my 14-day trial.

 

Allocate or deallocate licenses

Note: This section applies to the 14-day trial only. All firm users during the 30-day trial receive automatic access to Vincent AI and do not require individual license allocation.

On the 14-day trial, licenses must be manually assigned to individual users before they can access Vincent AI. This allows firms to pilot Clio Work with a specific team or department before a firm-wide rollout.

  1. In Clio Manage, click Settings > Manage Users.
  2. Locate the firm user and select the down arrow next to Edit.
  3. Select Add to Clio Work to grant access, or Remove from Clio Work to revoke access.

Tip: If Clio Work does not appear in a user's product switcher after a license has been assigned, ask the user to sign out and sign back in to Clio Manage.

 

Opt out of Clio Work

The trial cancellation process differs depending on your trial type. Review the relevant sections before taking action. 

30-day trial

Important: If your firm opts out of the Clio Work trial, you cannot opt back in. Individual users can be removed without affecting the rest of the firm's access.

If you take no action, your trial will expire at the end of the trial period, and your account will not be charged. If you want to end your trial early, you can opt out as a firm or remove individual users at any time. To cancel the trial for your entire firm, you can submit the opt-out form on the Clio Work 30-day trial page linked above. A firm administrator must submit the form to cancel access for all users.

Note: If a user who is not a firm administrator submits the opt-out form, they will receive instructions to provide to their administrator to remove their individual access.

Remove individual users

Firm administrators can remove individual users from the Clio Work trial at any time via Settings.

  1. In Clio Manage, click Settings > Manage Users.
  2. Locate the firm user and select the down arrow next to Edit.
  3. Select Remove from Clio Work.

 

14-day trial

To avoid recurring subscription fees, you can cancel the 14-day trial at any time before the trial period expires. Once you opt out and the trial period ends, users will no longer have access to Clio Work, and your card will not be charged.

  1. In Clio Manage, click Settings > Account and Payment Info.
  2. Select the Payment info subtab.
  3. In the Clio Work Subscription section, select Cancel trial.
  4. Select Cancel auto-upgrade to confirm.
