Import Balances Forward With Migration Templates

When you import data into Clio Manage, you will need to use Clio's balances forward migration template to bulk import outstanding accounts receivable balances, so your firm's financial position is accurately reflected from the start. Outstanding balances imported using this method appear as a one-hour unbilled time entry per matter. Manually adding accounts receivable balances is recommended where possible.

Important: Do not include commas in the price column. The template method for importing balances forward may not facilitate a seamless transition. Review the manual import method below before proceeding.

Required fields

  • Matter: Exact match to the matter display number.
  • Date
  • Price: Outstanding balance amount.

Import balances forward using the template

  1. Download the Balances forward import template (North America).
  2. Populate the spreadsheet with your accounts receivable information using the field reference below.
  3. Delete any unused row cells, then save the file in CSV format.
  4. On the Clio Manage Imports page (https://app.clio.com/imports), click Add and select Activities from CSV.
  5. In the User dropdown, select the firm user responsible for the imported entries.
  6. Click Choose File and select your saved CSV file.
  7. Click Upload File.

 

Field reference

  • matter: Enter an exact match to a matter display number in Clio. Required.
  • date: Enter the original invoice date or the date the total accounts receivable is accurate as of, in MM/DD/YYYY format. Required.
  • activity_description: Set to "Balance Brought Forward from Previous Software" by default. Can be changed.
  • note: Corresponds to the Description field in Clio.
  • price: Enter the outstanding balance amount. Do not include commas. Required.
  • quantity: Enter 1.
  • type: Enter TimeEntry.

Manually import outstanding balances

To add outstanding balances manually, first create a balance forward activity category, then create a time entry for each matter balance.

Create a balance forward activity category

  1. In Clio Manage, click Activities, then click Manage Categories.
  2. Click New Category.
  3. Select Time entry category.
  4. Enter a name, for example Outstanding Balance.
  5. Under Billing method, select Flat rate.
  6. Leave the Rate as 0.00.
  7. Click Save Category.

 

Create a time entry for the balance

  1. Go to the appropriate matter's Activities subtab.
  2. Click New Time Entry.
  3. Select the activity category created above.
  4. Under Rate, enter the outstanding balance amount.
  5. Click Save Entry.
