Branded, consistent bills reinforce your firm's professionalism and reduce client billing questions. Bill themes group their formatting options into categories that control fonts, spacing, logos, and which optional sections appear on a bill. Configuring these categories produces a bill layout that matches your firm's branding and shows clients exactly the information you choose.
Note: Only users with administrator or billing permissions can create or edit bill themes.
Understand customization categories

The responsible attorney's signature is the default signature once you generate the bill, and you can remove or replace it with any firm member's signature while viewing the bill. |
Set up common customizations
Add your firm logo
Upload the logo first at Settings > Account and Payment Info > Account Info. For best results, keep the logo under 2 MB with a 5.5:1 aspect ratio.
Add the logo to the theme header, or to the footer using a hosted image link.
- Go to Settings > Billing > Bill Themes and select the theme.
- For the header, go to Firm Information > Logo and check Showing.
- For the footer, go to Footer > Footer, then insert the logo's hosted image link into the Payable Statement or Invoice Memo field.
Add a secure payment link
With Clio Payments enabled, you can add a secure payment link anywhere in the theme, including the footer.
- Go to Online payments > New charge and click Copy payment link for the deposit account.
- Go to Settings > Billing > Bill Themes, select the theme, and paste the link.
Configure interest on invoices
The interest category appears in the theme's navigation menu after you create a payment profile. The interest section remains part of every bill theme, and it appears on a generated bill only when the payment profile applied to that bill includes interest.
- Create a payment profile that includes interest.
- Go to Settings > Billing > Bill Themes and select the theme.
- Go to Interest to change how the table appears.
Rename the discount term
Change the "Discount" label throughout a bill theme to any term or language that fits your firm.
- Go to Settings > Billing > Bill Themes and select the theme.
- Go to Localization > Matter and change the fields labeled Discount to your preferred term.
- Go to Matter > Line Items and clear Show Line Item Discount Subtotal to hide the subtotal row.
Separate expenses and time entries on invoices
Show expenses and time entries as separate sections on a bill.
- Go to Settings > Billing > Bill Themes and select the theme.
- Go to Matter > Line Items and check Split Time, Expenses and Products.
Add a matter reference number to invoices
Show a matter-specific reference number on a bill, such as an external claim number. Add the reference number to the matter first, then show it on the bill theme.
- Add a Client reference number to the matter's Matter details section.
- Go to Settings > Billing > Bill Themes and select the theme.
- Go to Matter > Heading and check Show Matter Client Reference Number.
Show UTBMS codes on invoices
See UTBMS Codes to learn about UTBMS codes and show or hide them for activities on your bills.
Add a tax number to invoices
Display your firm's tax number on a bill by adding it to the invoice memo in the theme's footer.
- Go to Settings > Billing > Bill Themes and select the theme.
- Go to Footer > Footer and check Show Invoice Memo.
- Enter your tax number in the Invoice Memo field and click Save.
Show statements of account on bills
The statements of account is a detailed summary of bill invoice amounts, payments, and balances due on a client's account that can be generated as an export. You can also show or hide a smaller or less detailed version of the statements of account on a bill invoice using bill themes. When making this change, you can show or hide and make some custom modifications to the statement of account, which shows the total amount outstanding, and the detailed statement of account, which shows the amount due for the current bill and any payments received.
- Go to Settings > Billing > Bill Themes.
- Click the bill theme.
- Go to Statements of Accounts > Summary of Accounts.
- Click Hidden to hide it. Click Above Line Items or Below Line Items to show it.
- Go to Settings > Billing > Bill Themes.
- Click the bill theme.
- Go to Statements of Accounts > Detail of Accounts.
- Uncheck or check the box for Show Detailed Statement.
