Once a Clio Administrator sets up Clio Phones on your firm's account and you set up Clio Phones for your own Clio account, you can make and receive calls directly from Clio Manage, the Clio desktop app, or the Clio mobile app.
When you make or receive a call in Clio, several pieces of information are collected and saved automatically, depending on your firm's settings:
- A recording of the call, if call recording is turned on for your firm or your line
- A transcript of the conversation, generated from the recording
- An AI-generated summary, including an overview, key points, action items, and suggested next steps
- Any notes you type during or after the call
- A time entry, created automatically from the call's duration
- The matter the call is linked to, along with the client, if the contact is associated with a matter
All of this is saved to the call's entry in your firm's call logs, where anyone with access to the linked matter can view it.
Make a call
- Select the phone icon in the top navigation to open the dialer. You can also go to Inbox > Phones and select Make a call.
- Do one of the following:
- Start typing the name or number for a contact or firm member in the search field, then select the relevant party from the dropdown.
- Type the phone number, then select the call button.
- From the recent calls list, hover over a contact or firm member from your recent call list, then select the call button.
Receive a call
For incoming calls and while you are working in Clio, a notification appears in the Clio web app and a ringtone also plays. When you are working outside of Clio, but still have it open, a browser pop-up along with a ringtone will notify you of an incoming call. Select Answer or Decline.
Manage a call
While you're on a call, a call modal with relevant matter and contact information will be available. During the call you can do the following.
-
Write notes: Take notes about the call.
Tip: Apply text formatting (bold, italic, underline, lists) using keyboard shortcuts.
-
View matter details: If the contact you are on the phone with is linked to a matter, Clio will automatically file the phone call to the matter. In this case you will see the matter name, a short summary of the matter, basic details about the matter, and the client name and other contacts associated with the matter.
Note: If the contact is linked to more than one matter, or Clio does not log the call to a relevant matter, select the matter dropdown to choose the correct one.
- Go to the matter: Select View matter to open the matter in a new browser tab.
The call controls at the top of the call window allow you to:
- Mute or unmute your microphone
- Put the call on hold
- Turn call recording on or off for the current call
- Transfer the call to another firm member
Tip: Minimize the call window to navigate to information in Clio. You can reopen the call window again from the call bar in the top right of the menu bar.
End a call
During a call, your call modal will be visible in Clio's web app. Select End on the modal to hang up. Your call modal remains open after the call so that you can select the matter that the call relates to, edit your call notes, and—if your setting for creating a time entry is enabled—edit the time entry details. Select Done to close the call window.

Review missed calls and voicemail
When you miss a call or someone leaves a voicemail, Clio notifies you by way of a notification badge on the Clio Phone icon in your menu bar, as well as in your Inbox.
- Open the dialer and select the Recents or Voicemail tab.
- Recents: Missed calls are marked in red with a missed call icon. To dial back, hover over the name and select the call button.
- Voicemail: Select the dropdown to view a transcript of the voicemail or select the Play button to listen to the voicemail. Select Call back to return the call.
From the phone log, missed calls and voicemails are marked in red with a missed call icon.
- Go to Inbox > Phones.
- Select a missed call log to open its details.
- Key voicemail details: The voicemail log includes time of the call, the contact name (if available in Clio), the voicemail duration, and associated matter (if identifiable).
- Voicemail summary: If a voicemail was left, Clio Phones provides an AI-generated summary of the key details of the message as well as suggested next actions.
- Recording and transcript: Select the Play button to listen to the voicemail and/or select Show transcript to read the transcript of the voicemail.
- Select Call or Text to get in touch with the contact.
Tip: Add call notes, for example, noting down answers to questions asked in the voicemail in preparation for when you return the call, or adding administrative notes once you have called back.
Edit a call topic
After each call, Clio generates a short call topic to help you distinguish between the various calls your firm makes or gets. To update the topic:
- From your call log, open a call, or select the ⋮ menu next to it in the list.
- Select Edit.
-
Update the Subject.
Note: You can also change or add the Matter from this modal if needed. Learn how else to add or edit the matter.
- Select Save call.
