If call recording is turned on for your firm, Clio Phones automatically records, transcribes, and summarizes your calls. You can view a list of all calls placed and received from your Inbox and viewing the Phones tab. When you select a call to open it, the following information is available.
- Call details: At the top of the panel is the date and time of the call, the contact(s), call duration, and associated matter.
- Call summary: An AI-generated call summary typically includes an overview of the call and suggested next steps.
- Call notes: This section allows you to create your own notes for the call. You can add them during a call and add or edit them afterwards.
- Playback bar: If you enabled recordings, select the play button to listen to the call/voice message. Select Show transcript to view the transcribed text. You can also search for keywords in the transcript, or download it.
Filter and search the call log
To find a particular call, or narrow your call log list to a particular subset of calls, select the filter icon to filter by matter, contact, the firm user who took or placed a call, or date range. You can also limit the list to only your own calls or to voicemails only.
If you enable call recording and transcription, you can also enter a search term to find calls by keyword.
Note: You will still be able to record and manage phone logs outside of Clio Phones.
File calls to matters
If you place or receive a call from a phone number associated with a contact, Clio typically associates the call with the contact's matter. If a call is not filed automatically to a matter, the contact has multiple open matters, or the call was filed to the wrong matter, you can update the matter from the Phone log.
- Go to Inbox > Phones.
- Optional: Use All or Unfiled to filter the list, or use the search field and filter to narrow the list.
- Select the relevant call to open the call details, then select the more icon (vertical ellipses). Or, you can select the more icon (vertical ellipses) on the call log list item directly.
- Select Edit.
- Use the matter dropdown to select the relevant matter.
- Select Save call.
You can also file multiple calls to a matter at the same time.
- In your call log, select the checkbox next to each call you want to file.
- At the top of the call log list, select File to matter.
- Select the relevant matter from the dropdown.
Delete a call log
You can delete any calls unrelated to any matters or calls that you do not need to keep record of.
- From your call log, select the ⋮ menu, or open the call and select the ⋮ menu.
- Select Delete.
- Select Delete call to confirm.
You can also delete multiple calls.
- In your call log, select the checkbox next to each call you want to delete.
- At the top of the call log list, select Delete.
- Select Delete [x] calls to confirm.
Important: Deleting a call is permanent and cannot be recovered.
Add, edit, or delete time entries related to call
If you enable the automatic creation of time entries when you receive or make a call, Clio will create a time entry for each call. You can add additional time entries for the call, or edit or delete the time entries.
- Go to Inbox > Phones.
- For the relevant phone log, select the call duration tag.
- Fill the modal.
- Select Save entry.
- Go to Inbox > Phones.
- For the relevant phone log, select the call duration tag.
- For the relevant entry, select Edit > Add time entry.
- Fill the modal.
- Select Save entry.
- Go to Inbox > Phones.
- For the relevant phone log, select the call duration tag.
- For the relevant entry, select the down arrow next to Edit and select Delete.
- Select Delete entry.
Mark calls as "unread"
In Clio, your Inbox and Phone log list will display a badge with the number of logs that you have not yet seen or taken action on. When you view a phone log, the number in the badge that indicates these unseen items will decrease. This makes it easy for you to see where your attention is still needed. If you view a log, but you need to return to it later, you can mark the list item as "unread" for your attention later.
- In your call log, select the checkbox next to each call you want to mark as unread.
- Select Mark as unread.
Similarly, you can select multiple unread list items and select Mark as read.
