Clio Mobile: Record In-Person Meetings With AI Meeting Notes

In the Clio for Law Firms and Lawyers mobile app, you can record an in-person meeting and get an AI summary, a transcript with speaker labels, and an optional audio recording, saved together as a meeting log. Linking the meeting log to a matter or contact keeps consultations, witness interviews, and other in-person conversations on the file with the rest of the case. Everyone with access to the matter gets the same record as soon as the meeting ends, in place of notes written up or uploaded later.

Understand requirements and access

In-Person AI Meeting Notes is available on select plans and to firms with the Manage AI add-on. Learn more about your plan's features. Recording starts from Clio's mobile app and supports in-person meetings. Every user at an eligible firm has access. Transcription supports English and the language set on the device, including Spanish. Summaries generate in English.

Each device that records meetings needs:

  • iOS 26 or later, or Android 12 or later.
  • The latest version of Clio's mobile app. See Set Up Clio's Mobile App.
  • At least 100 MB of free storage.
  • Microphone access for Clio's mobile app.

Note: Firms that joined the pilot on a plan outside these options keep access until November 23, 2026. After that date, saved meeting logs stay on their matters and contacts, but you cannot record new meetings.

Prepare an Android device

If your Android device is missing the on-device speech model for transcribing meetings, a prompt to download it appears the first time you start a recording. Recording becomes available after the download finishes.

  1. Tap the create button.
  2. Tap Record.
  3. In the prompt, accept the download.
  4. Wait for the download to finish.
  5. Tap Record to start the recording.

Record meetings

Start a recording before the meeting begins, from the create menu, the Meetings inbox, a calendar event, or the Lock Screen on iOS. Every recording opens with a consent confirmation. After the recording starts, you can lock the phone or switch apps, and the recording continues in the background. Recordings run for the full length of the meeting, at any duration.

Important: Recording laws vary by jurisdiction, and some jurisdictions require consent from every person in the conversation. Before each recording, confirm the rules that apply in your jurisdiction and your professional obligations, and give notice to everyone in the room.

Tip: Start a recording from a calendar event to fill in the meeting subject, attendees, and date. On iOS, a Live Activity reminder opens on the Lock Screen as a calendar meeting approaches. Tap Record on the reminder to start the recording.

Record from the create menu

  1. In Clio's mobile app, tap the create button.
  2. Tap Record.
  3. Confirm that everyone in the meeting consents to the recording. The alert states: You must receive consent from all parties in your meeting before recording. Audio recording is subject to applicable laws and your professional obligations.
  4. Tap a recording option:
    • Record audio and transcript: Saves the audio recording with the transcript and summary.
    • Record transcript only: Saves the transcript and summary. The audio is discarded after transcription.
  5. If the microphone permission request opens, tap Allow.
  6. Optional: Enter your own notes on the recording screen during the meeting.
  7. When the meeting ends, tap Done.
  8. In the confirmation alert, tap Stop recording.

Control a recording

  • Pause: Tap Pause recording. Tap Resume recording to continue.
  • Minimize: Tap the minimize icon to return to the app. A recording bar stays above the bottom navigation. Tap the bar to reopen the recording screen.
  • Discard: Tap Cancel, then tap Discard recording. The recording and notes are deleted, and the change is permanent.

Review meeting logs

When the recording stops, the meeting details screen opens, and the summary and transcript start to generate. Longer meetings may take longer to process. In-Person AI Meeting Notes can organize your summary by the type of legal conversation recorded, and recognize the linked matter or contact to pull context from the matter details and the parties involved.

The Details section at the top of the screen holds the linked matter, the time entry, the participants, and the meeting date, time, and duration. When the recording starts from a calendar event, the participants and date fill in from the event.

  • Summary: A narrative overview, key takeaways, and next steps, with an AI-generated label.
  • Notes: Notes entered manually during or after the meeting.
  • Recording: Audio playback, when the audio is saved. Tap View transcript to open the full transcript. The transcript and summary label each speaker as Speaker 1, Speaker 2, and so on.

Note: When AI features are turned off for the firm, the meeting log keeps the transcript and recording, and the summary section is hidden. See AI Features in Clio Manage.

Link meeting logs to a matter

If the Details section lists No matter, you will need to link the meeting log to a matter.

  1. On the meeting details screen, tap Select matter.
  2. Search for the matter, or create a new matter.
  3. Tap the matter. The time entry moves to the same matter.

Tip: A meeting log on the matter keeps a dated record of what a client said and what they instructed, in their own words. That record helps a colleague pick up the file and supports the matter history if a client later disputes an instruction or a decision.

Edit summary or notes

  1. Tap Edit next to Summary or Notes.
  2. Update the text.
  3. Save the changes.
    • If the summary fails to generate, tap Generate to try again.

Update the time entry

A time entry with the meeting duration saves automatically. The entry is billable when the matter bills hourly, and non-billable when the log is unlinked or the matter is flat rate, contingency, or non-billable. When the firm requires a matter on time entries, link a matter first, then tap Add time entry. See Time Entries.

  1. Tap Edit time entry.
  2. Update the time entry details.
  3. Save the time entry.

Manage the meeting log

Tap the More menu in the top right of the meeting details screen, then tap an option:

Edit subject

Renames the meeting log. A blank subject fills in automatically after the summary is ready.

Mark unread

Returns the meeting log to unread in the Meetings inbox.

Delete

Deletes the meeting log, with its summary, transcript, and audio recording.

Find meeting logs

Meeting logs save to the Meetings tab, in Clio's mobile app, and in Clio Manage and Clio Grow on the web. Meeting logs follow matter permissions, so anyone with access to the linked matter can open the meeting log. See Matter Permissions and Rates.

  • Clio's mobile app: Go to Inbox > Meetings. For one matter or contact, open the matter or contact, then tap Meetings.
  • Clio Manage and Clio Grow on the web: Go to Communications > Meetings. For one matter or contact, open the matter or contact, then go to Communications > Meetings.

In Clio's mobile app, tap the filter icon in the Meetings inbox to filter by Matter, Contact, Firm user, or Date range. Turn on Show my meeting only or Show unread only to narrow the list.

Understand how meeting data is stored

Meeting recordings, transcripts, and summaries are part of the firm's record in Clio. They follow the same handling and retention practices as other matter and communication records.

  • Meeting recordings, transcripts, and summaries are excluded from AI model training. See Clio's Privacy Policy.
  • Audio processes in Clio's cloud infrastructure. Audio files clear from the device after the session ends.
  • Audio saves only when you choose Record audio and transcript.
  • Deleting a meeting log removes its summary, transcript, and audio recording together.
  • Recording supports in-person meetings captured live in Clio's mobile app. Phone calls, video meetings, desktop recording, and uploads of existing audio files sit outside this feature.
  • Summaries cover the conversation itself and exclude legal research, case law, and citations.
