In Clio Manage, the primary subscriber and administrators can deactivate users, reassign their work, reactivate users, and cancel the account. Reassigning work before a user leaves keeps open matters, tasks, and deadlines covered. A clean user list also helps keep your billed licenses aligned with the people who use them.
Tip: Firms with the Admin Console can deactivate, reactivate, and reassign work for users across every Clio product in one place. Refer to Manage Clio Licenses and Users. To add users and set up your account, refer to Manage Users in Clio Manage.
Deactivate Clio Manage users
You can deactivate firm users who no longer need access to Clio Manage. Doing so will hide their calendar entries, but their previous activities and tasks will not be removed. If they were responsible for working on a matter, this information will also remain in the matter until reassigned. There is no option to permanently remove a user.
A deactivated user's license becomes available for a new invitation. The license remains on your account and bill until you remove it. To remove unused licenses, refer to Manage Users in Clio Manage. You can also deactivate users via the Admin Console.
Note: If you deactivate a user who has a license under Clio's Personal Injury Add-On, the deactivated user will also lose their personal injury license. If you reactivate the deactivated user, they will not retain their personal injury license.
- Open the user menu in the top right, then go to Manage settings > Manage Users.
- For the user, click the down arrow next to Edit, then click Deactivate.
- In the warning prompt, select Deactivate.
Reassign work
Administrators can move tasks, matters, and calendar events from one user to another. Reassigning work redistributes the workload and keeps open and pending matters moving. The newly assigned user receives an in-app notification and an email.
Important: Reassign work covers open and pending matters, as well as the tasks and calendar events linked to them. The following stay with the original user:
- Work on closed matters.
- Tasks and calendar events with no linked matter.
- Calendar events where the user is an attendee only.
- Restricted matters with permissions set to Me for that user. To find a user's restricted matters, filter the Matters list by Admin view and select Matters I am restricted from.
- Open the user menu in the top right, then go to Manage settings > Manage Users.
- Optional: Select the Inactive tab to reassign work from a deactivated user.
- Find the user, then click Reassign work.
- For Matters, Tasks, and Calendar Events, select the firm users to receive the work.
- Click Reassign work.
Tip: Reassign work before you deactivate a user who leaves the firm. Court dates, filing deadlines, and client follow-ups then have a named owner from the first day, which supports deadline control and continuity of client service.
Reactivate users
Reactivate a deactivated user to restore their access to Clio Manage. A reactivated user who signs in with the email address of the deactivated account may need that email released first. To release the email, contact Clio's support team.
- Open the user menu in the top right, then go to Manage settings > Manage Users.
- Select the Inactive subtab.
- For the deactivated user, click Activate.
- Click Activate again to confirm.
Cancel account
Account cancellation carries no additional or hidden costs. Cancel before your renewal date to avoid the next annual charge. A user with administrator permissions starts the cancellation in Clio Manage and completes it with Clio's support team.
- Open the user menu in the top right, then go to Manage settings > Account and Payment Info.
- Click Close Account.
- Select the reason for closing your account.
- Call Clio's support team for verification.
- Click I Want To Permanently Close My Account.
Tip: Clio's Terms of Service describe the account cancellation policies.
