Edit Invoices

In Clio, you can edit an invoice to correct its activities, dates, and amounts before it reaches a client. You can edit draft invoices and invoices pending approval, approved invoices allow limited editing by default, and paid invoices require removing all payments first. Editing invoices can help keep client balances and firm records accurate.

The steps to edit an invoice are the same for every firm. The process to save depends on your firm's invoicing setup.

  • Firms that generate standard invoices only: Clio saves your changes automatically, so you do not need to click Save invoice. A save status indicator in the top right shows when your changes are being saved and confirms when they are saved.
  • Firms that generate trust requests, use split invoices, or invoice in more than one currency: autosave is not available on any invoice. Click Save invoice to save your changes.

Enable full editing of unpaid invoices

By default, only invoices in draft and pending approval allow full editing. To allow editing of all unpaid invoices, including approved ones, turn on Allow editing of approved invoices and trust requests under Manage invoice states in Configure General Invoice Settings.

Edit invoices in draft or invoices pending approval

Draft invoices and invoices pending approval allow full edits by default, including time and expenses, taxes, discounts, issue date, due date, and currency.

  1. Go to Manage > Invoices, then click the invoice ID.
  2. Click More actions and select Edit.
  3. Click Add time or Add expense to add activities, or click Remove to remove an entry.

Note: Removing a time or expense entry only removes it from the invoice. The entry itself stays in the matter's time and expenses.

  4. Make any other changes, such as the due date, tax, or discounts.
  5. In the top right, confirm that the save status indicates your changes have been saved, or click Save invoice if your firm saves manually.

Edit approved invoices

By default, an approved invoice allows changes only to non-activity items, such as adding a discount or invoice notes, and changing the invoice ID. To also edit activities on an approved invoice, turn on full editing in Configure General Invoice Settings.

  1. Go to Invoices and select the Unpaid quick filter to view approved invoices.
  2. Click the down arrow next to Send and select Edit invoice. You can also click the invoice Id number, select the More actions dropdown and then select Edit.
  3. Make the necessary edits.
    • If you have not enabled full editing of approved invoices, you can only change the invoice ID#, add a Discount or Invoice note, or change the Subject and Purchase order #.
    • If you enabled full editing of approved invoices, you can also add and remove activities, change the Issue date, Due date, and Currency, edit taxes, and make changes directly on table of line items.

Note: If your firm regularly invoices in multiple currencies, consider adding currencies to your firm's invoice settings.
  4. In the top right, confirm that the save status indicates your changes have been saved,

Edit invoice IDs

When an invoice is generated, it automatically receives a numeric ID. You can change the ID of any unpaid invoice to any alphanumeric value. Each new invoice receives the next available numeric value. To change the ID of a paid invoice, remove the payment first.

  1. Go to Manage > Invoices.
  2. Click the invoice ID number to open the invoice.
  3. Click Edit, or click the down arrow next to More actions and select Edit, depending on the invoice state.
  4. Under ID#, enter the new value.
  5. Confirm that the save status indicator in the top right marks your change as saved.

Edit invoice notes and options

Before you send an invoice to a client, you can update its footer notes, invoice memo, and payment profile notes, or change its template or the client address. The invoice preview updates in real time as you edit.

Note: These changes affect only the invoice you are editing. See Design Invoices With Invoice Templates to change the overall invoice template.

  1. Go to Manage > Invoices, then click the invoice ID to open the invoice. You can also click the down arrow and select View invoice.
  2. Under Options in the left menu, change the invoice template, or select a different address if the client has more than one.
  3. Under Note in the left menu, change or remove the footer notes, invoice memo, or payment profile notes.
