Delete and Void Bills

Removing an inaccurate or unwanted bill returns its activities to an unbilled state so you can rebill them correctly. Bills in draft or pending approval can be deleted outright, while approved bills and bills with a full or partial payment applied can only be voided. To edit or void a paid bill, delete its payment first.

Note: When a bill is deleted or voided, its activities return to an unbilled state and can be billed again. You may want to do this to apply a different bill theme to an approved or sent bill.

Delete bills

Delete a bill one at a time or in bulk. Only bills in draft or pending approval can be deleted. A deleted bill moves to the Archive section of the main Billing tab.

Delete an individual bill

  1. Go to Billing, or go to the Bills subtab in a contact or matter.
  2. Select the Draft or Pending approval quick filter.
  3. Click the down arrow next to Edit and select Delete bill.
  4. When the warning prompt appears, select Delete invoice.

 

Delete bills in bulk

  1. Go to Billing, or go to the Bills subtab in a contact or matter.
  2. Select the Draft or Pending approval quick filter.
  3. Check the box next to each bill you want to delete.
  4. Click the down arrow next to Submit for approval or Approve and select Delete.
  5. When the warning prompt appears, select Delete items.

 

Void bills

Void an unpaid bill without a payment, or a paid bill with a full or partial payment. A full or partial payment on a bill needs deleting before you can void it. A voided bill remains void permanently and moves to the Archive section of the main Billing tab. Its activities return to an unbilled state and can be billed again. After voiding a bill, regenerate the invoice and select a new bill theme if needed.

Important: A trust request payment does not support deletion. Learn more in Manage Trust Requests.

Step 1: Remove any full or partial payments

  1. Go to Billing, or go to the Bills subtab in a contact or matter.
  2. Click the Bill ID, or click the down arrow next to Send and select View bill.
  3. Find the payment in the Payments subtab.
  4. Click the down arrow next to Edit and select Delete.
  5. When the warning prompt appears, select Delete.

 

Step 2: Void the unpaid bill

  1. Go to Billing, or go to the Bills subtab in a contact or matter.
  2. Select the Unpaid quick filter.
  3. Click the down arrow next to Send and select Void bill.
  4. When the warning prompt appears, select Void invoice.

 

Delete or void bills for a deleted contact

If you deleted a contact and its matters still have generated bills, recover the contact from the Recovery Bin first, then delete or void the bill.

  1. Go to Settings > Recovery Bin.
  2. Click Filter.
  3. Under Type, select Contact.
  4. Find the contact and click Recover.
  5. Follow the steps above to delete or void the bill, then re-delete the contact.
