Delete and Void Invoices

In Clio Manage, you can delete or void an invoice that is inaccurate or no longer needed. Deleting or voiding an invoice returns its time and expense entries to an unbilled state, so you can bill them again correctly. Matching the action to the invoice state keeps your billing record accurate and your client balances correct.

Delete invoices

Delete invoices in the Draft or Pending approval state, one at a time or in bulk. Deleting an invoice is permanent. The time and expense entries on the invoice stay in Clio Manage and return to an unbilled state. Deleted invoices move to the Archive quick filter.

Note: Deleting a split invoice applies to every invoice linked to it. The confirmation dialog is titled Delete all linked invoices. Click Delete to confirm.

Delete an individual invoice

  1. Go to Invoices, or go to the Invoices subtab in a contact or matter.
  2. Select the Draft or Pending approval quick filter.
  3. Click the down arrow next to Edit and select Delete invoice.
  4. In the Delete invoice dialog, click Delete invoice.

Delete invoices in bulk

The bulk action menu holds Delete alongside other bulk actions, such as Send, Print, and Download. Delete is listed for users with permission to edit the selected invoices.

  1. Go to Invoices, or go to the Invoices subtab in a contact or matter.
  2. Select the Draft or Pending approval quick filter.
  3. Select the checkbox next to each invoice to delete.
  4. Click the down arrow next to the bulk action button, such as Submit for approval on the Draft list or Approve on the Pending approval list, and select Delete.
  5. In the Delete items dialog, click Delete items.

Tip: A bulk deletion runs as a bulk billing action. Track its progress on the Job Status subtab, as described in Generate Bills in Clio Manage.

Void invoices

Void an invoice in the Unpaid state to cancel it and keep a record of it. To void a Paid invoice, delete its payments first, which returns it to Unpaid. Invoices in the Draft or Pending approval state are deleted instead. Voiding is permanent. Voided invoices move to the Archive quick filter, and their time and expense entries return to an unbilled state for billing again. After voiding, regenerate the invoice.

The Void option is available when the invoice meets all of these conditions:

  • The invoice has no recorded payments.
  • The invoice has no applied credit notes. Learn more in Apply Credit Notes and Write Offs.
  • The invoice has no effect on a trust balance.
  • The invoice has no pending online payments.
  • E-invoicing requirements for the account permit voiding.

Void invoices one at a time. Bulk voiding is unavailable.

Important: A trust request payment is final and has no delete option. Learn more in Manage Trust Requests.

Step 1: Remove full or partial payments

Delete each manually recorded payment on the invoice. Credit card and eCheck payments are refunded or unlinked instead, as described in Edit and Delete Bill Payments.

  1. Go to Invoices, or go to the Invoices subtab in a contact or matter.
  2. In the Id column, click the invoice number. You can also click the down arrow next to the row's action button and select View invoice.
  3. Click the Payments subtab.
  4. Click the down arrow next to Edit for the payment and select Delete.
  5. In the Delete Payment dialog, click Delete.
    • After all payments are deleted, a Paid invoice returns to the Unpaid state. The invoice stays Paid while credit notes or a write off still cover its balance.

Step 2: Void the invoice

  1. Go to Invoices, or go to the Invoices subtab in a contact or matter.
  2. In the Id column, click the invoice number. You can also click the down arrow next to the row's action button and select View invoice.
  3. Click More actions and select Void.
  4. In the confirmation dialog, click Void invoice.
