Secure Payment Links and QR Codes

With Clio Payments, you can send your clients secure payment links that connect directly to your bank accounts in Clio or links that connect to bills, and you can send clients QR codes that connect and send payment directly to your Clio bank accounts. You can also include secure payment links and QR codes on downloaded bills that your clients can click or scan to pay their bills.

Send client balance bill payment links

When you send a bill payment link, your client will see the balance that is due when they click the link. Your client can make a payment using credit card, debit card, Apple Pay, Google Pay, or eCheck (US only) that will go directly toward the bill. Once paid, the bill will move into a paid state.

Tip: You can cancel a bill payment link by voiding the bill.

  1. Go to Billing or click the Bills subtab in a contact or matter.
  2. Optional: Select the Unpaid tab to view bills that are ready to be shared.
  3. Click the down next to Send and select Copy link to pay client balance.
  4. Select the bank account where the funds will be deposited.
  5. Click Copy link to send.
  6. Send this link in a text message, through the client portal, or by email.

 

Manage bank account secure payment links

In Clio Manage, you can send your clients secure payment links that are connected to your operating or trust bank accounts. When you share a bank account secure payment link with a client, there is no specified amount due since the link is not connected to a bill. You can the share the link with your client via text messaging, the client portal, or sending by email. Once payment is received, you will need to link the payment to a contact or matter

Note: You cannot cancel or force expire a secure payment link that is not attached to a bill.

Send bank account secure payment link
  1. Go to Online payments > New charge.
  2. Click Copy payment link below the bank account that you want the funds to be accepted into.
  3. Send this link in a text message, through the client portal, or by email. Your client can pay any amount after opening the link.
Link payment to contact or matter

When your client makes a credit card, debit card, Apple Pay, Google Pay, or eCheck (US only) payment using the secure payment link, you will need to connect the payment to a client or matter once the payment has been processed. You will receive an email when the payment is made and a second email when the payment is processed and ready to be linked to a client or matter. You can click the link button in the email or link the payment directly in Clio Manage.

  1. Open the email notifying you that the payment has been processed.
  2. Click Link to a client or matter.
Unlink payment

If you accidentally linked a payment to the incorrect client or matter, you can unlink the payment and link it to the correct client without having to issue a refund.

  1. Go to Online payments.
  2. Optional: Click Filters to narrow your transaction results.
  3. Find the payment and then click Edit.
  4. Under Client, select the new client for the payment.
    • Once the client is selected, you have the option to choose a matter. You cannot, however, link the payment to only a matter.
  5. Optional: Check the box for Apply payment to issued invoice automatically if you want this payment to be applied to approved bills for this client.
  6. Click Update payment.
  7. Click Yes, update payment to confirm and unlink the payment.

 

Manage bank account QR codes

In Clio Manage, you can send your clients QR codes that are connected to your operating and/or trust bank accounts. When you share a bank account QR code with a client, there is no specified amount due since the QR code is not connected to a bill. Once payment is received for a bank account QR code, you will need to link the payment to a contact or matter.

Tip: If you are using Clio's mobile app, you can accept bill payments from clients in person using QR codes, allowing you to collect payments more conveniently and give your clients more flexible ways to pay. Learn more here.

Share a bank account QR code
  1. Go to Online payments > New charge.
  2. Click Generate QR Code below the bank account that you want the funds to be accepted into.
  3. Click Print to save the QR code on your computer or to print a physical copy. You can also take a screenshot.
  4. Share the QR code with your client by email or the client portal.
Link payment to contact or matter

Download bills with QR codes and secure payment links

If you have Clio Payments set up and you download a PDF copy of an approved bill, you can embed a QR code and clickable secure payment link on the bill. Once downloaded, you can print a copy for your client or send the downloaded bill by email. Your client can pay their bill online by scanning the QR code on the physical copy or clicking the secure payment link in the emailed bill.

The secure payment link and QR code will appear on a separate page from your bill. When your client pays by clicking the secure payment link or scanning the QR code on their smart device, the processed payment will automatically connect to the bill. Not only can your clients pay their bills quickly and easily, but you get paid faster and save time by not having to manually link payments.

Note: Only approved bills downloaded in PDF format will include a QR code and secure payment link. The QR code and secure payment link in the bill preview for an approved bill are only placeholders that do not link to any of your bank accounts.

Tip: You can view the downloaded bill and selected destination account in the Bill Timeline. This timeline can be accessed by clicking the bill Id in the bills table or by clicking the down arrow next to Send and selecting View bill.

  1. Go to Billing or click the Bills subtab in a contact or matter.
  2. Optional: Download multiple approved bills by checking the box next to all the bills you want to download.
  3. Click the down arrow next to Send and select Download bill.
  4. Select PDF as the output format.
    Note: This feature setting is automatically enabled by default. If you do not want to include a payment link and QR code on your PDF bill, toggle off Payment link and QR code on bill for each download. Toggling off on a per-download basis will apply to all bills within the same download.
    • If you are downloading a single bill and have multiple operating accounts, select the operating account that you want the payment funds to be deposited into.
    • If you are downloading a single trust request and have multiple trust accounts, select the trust account that you want the payment funds to be deposited into.
    • If you are downloading multiple bills and/or trust requests and have multiple operating and trust accounts, select the operating and trust accounts that you want the payment funds to be deposited into.
  5. Check or uncheck the box for Pay outstanding balance from oldest to newest.
    • If you check this option, your client will see their outstanding balance when they click the secure payment link or scan the QR code.
    • If you uncheck this option, your client will only see the balance for the downloaded bill when they click the secure payment link or scan the QR code.
  6. Click Download.
