In Clio Manage, you can create person and company contacts using a form that captures contact information, Know Your Client (KYC) checks, custom fields, and billing preferences. A complete contact record at intake lets you bill, communicate, and run conflict checks on the file without going back for missing details. Saving the contact creates the record you attach matters to, which turns the contact into a client.
Tip: To bring existing contacts into Clio Manage from another system, refer to Get Started With Migration Templates. To bring a contact across from Clio Grow, refer to Sync Contacts in Clio Grow.
Create a contact
You can start a contact from the contacts table or from the header. Both routes open the same contact form.
From the contacts table
- In Clio Manage, click Contacts.
- Click New person or New company.
- Complete the contact form. Refer to the section below for details on each part of the form.
- Click Save contact.
From the header
- In Clio Manage, click Create new in the header, then select Contact.
- Select Person or Company.
- Complete the contact form. Refer to the section below for details on each part of the form.
- Click Save contact.
The Firm Feed on your Clio Manage dashboard records which user created each contact.
Complete the contact form
The contact form groups information into the parts below. Company contacts also include an Employees section.
Contact information
Captures the physical addresses, email addresses, phone numbers, and website addresses for the contact. For email addresses, phone numbers, and website addresses, specify which one is primary. If your firm enables text messaging and sends bills by text, specify which phone number receives bills.
Note: Multiple contacts can use the same email address, and you can share resources by email with each of them. The client portal and Clio for Co-Counsel require a unique email address for each contact.
KYC checks
Records Know Your Client information for the contact. You can also record KYC information on a matter, and the contact dashboard holds the KYC checks logged for both the contact and the contact's matters. To keep KYC information out of Clio Manage, leave these fields blank or disable the KYC field set in your account settings.
Custom fields
Holds information specific to your firm. Contact custom fields are available on contacts, and matter custom fields are available on matters. The contact dashboard displays the first 12 contact custom fields in the order you add them.
- Open the contact and scroll to the Custom fields section.
- Click the Add a Custom Field or Custom Field set box, then select a custom field or field set.
- Expand the new section and complete the fields.
- Optional: Click Remove to take out a custom field or field set along with any data entered in it.
- Click Save contact.
Billing preferences
Sets how your firm bills this client, including the payment profile, currency, client rate, and LEDES billing details. A matter rate takes precedence over a client rate, so a client rate applies where the matter carries no rate of its own.
- Open the contact and scroll to the Billing preferences section.
- For Payment profile, select a payment profile. Payment profiles are created in your account settings.
- Optional: For Currency, your default currency is already selected. To use a different currency, select it from the list. Currencies are added at the firm level first.
- Optional: Click Add a custom rate, then select a firm user or group and enter the rate. Click Add a custom rate again for each additional user or group.
- Optional: Under LEDES billing, select Enable LEDES billing for this client's matters, then enter the LEDES client ID. Under Code sets, all sets are selected. Clear the check box for any set you want to leave out.
- Click Save contact.
Note: The LEDES billing section is available once LEDES billing is enabled at the firm level. Enabling it here applies LEDES billing to new matters for this client by default.
Employees
Available on company contacts. Links person contacts to the company and records a role for each one. Refer to Add Employees to Company Contacts.
