Releasing client funds returns remaining funds to your client, pays a third party from client funds, or corrects funds applied in error. Recording the transaction logs the funds leaving the client funds account and adjusts the balance. With transactions recorded, your Clio records match the funds leaving your account.
Note: If you deleted the matter before releasing remaining client funds, recover the matter from the Recovery bin first. See Delete and Recover Matters.
Release or pay out client funds
You can use this process for several purposes: returning remaining funds to your client, paying a third party such as a medical provider or insurer on your client's behalf, or correcting funds applied in error.
- Go to the matter or contact where the client funds are held.
- Click the Transactions subtab.
- In the Transactions table, use the down arrow to select the client funds account.
- Click Funds out.
- Complete the required fields. Information for some of these fields are provided below.
- Authorised by (Person 1) and Authorised by (Person 2): These fields appear for deposit accounts.
- Recipient: Type the name of the person or entity receiving the funds, for example, your client's name if you are releasing funds back to the client, or the name of the third party if you are paying them on your client's behalf.
- Number: The cheque or payment number. Leave the Auto-number toggle on to let Clio assign the number, or switch it off to enter your own. The prefix matches the payment type (CHQ, EFT, BCHQ).
- Client: Select the client the funds belong to. If you selected a deposit account the client will be preselected.
- Matter: Select the matter where the funds are held. If you selected a deposit account the matter will be preselected.
-
Amount: The amount to release.
Note: The "available" figure above this field changes depending on the matter and client selection. With only a Client selected, it shows that client's client-level funds. Once you also choose a Matter, it switches to show only the funds attributed to that client on that specific matter—not the client's overall balance, and not the matter's running balance. On a matter with more than one client, this figure is typically lower than the running balance shown on the matter's Transactions tab, since the matter's running balance pools funds attributed to every client on the matter.
