Clio Manage Custom Fields

Note: This article describes unified Clio. Unified Clio is available to firms in stages, so your account may still use the old experience. To switch to the old experience, open the user menu. Then select Switch to the old experience. Your data and settings are the same in both experiences.

You can create, edit, and delete custom fields in Clio Manage to capture additional information for your contacts and matters. This article guides you through managing these custom fields from Clio Manage.

Note: All users can use custom fields, but only Clio Administrators can create, edit, or delete custom fields.

Create custom fields

  1. Click the user menu (top right) > Manage settings > Custom Fields.
  2. Select the Matter custom fields or Contact custom fields subtab.
  3. Click Add custom field.
  4. Add the field name and select a field type.
  5. Optional: Check the box for Default, this will be applied to all new and existing contacts/matters.
  6. Optional: Check the box for Required.
  7. Click Save.

Edit custom fields

You can edit the name of your field, the checkbox to add it to new and existing contacts or matters, and whether it is required. If you edit the name of a custom field, the name change will be reflected in all existing contacts or matters with that custom field. If the field type needs updating, you will need to create a new custom field with the correct field type and delete the previous custom field.

Note: The instructions below apply to editing the custom field names and options, not the values entered the custom field for each contact or matter. To change the value of a field (the data entered into it), you will need to navigate directly to the matter or contact card and edit them.
  1. Click the user menu (top right) > Manage settings > Custom Fields.
  2. Select the Matter custom fields or Contact custom fields upper subtab.
  3. Select the Custom fields lower subtab.
  4. Next to the relevant field, click Edit.

Tip: To quickly find a custom field, type the field name into the search bar. If you only want to change whether the field is required of if the field needs to be a default (i.e., to be applied to all new and existing contacts or matters), you can use the toggles in the table.
  5. Update the field name and/or checkboxes, then click Save.

Delete custom fields

When deleting a custom field, you have the option delete the custom field entirely from your account, or you can delete the custom field but retain the field and values entered into the fields for existing contacts or matters.

Important: If you delete a custom field but choose to retain the field on existing matters or contacts, the custom field will continue to appear in filters and searches.
  1. Click the user menu (top right) > Manage settings > Custom Fields.
  2. Select the Matter custom fields or Contact custom fields upper subtab.
  3. Select the Custom fields lower subtab.
  4. Next to the relevant field, click Delete.

Tip: To quickly find a custom field, type the field name into the search bar.
  5. Select whether to remove the custom field from settings, thereby retaining the field and values in the field for existing matters or contacts, or whether to delete the field and all data entered into them for contacts and matters, then click Delete.
  6. When the warning prompt appears, check the box, then click Delete Delete.

Modify order of custom fields

If you need to change the order in which your custom fields appear you create a matter or contact or when you view a matter or contact's information, you can modify their order in your custom field settings.

Note: Custom fields in field sets are ordered based on the individual custom field order, not the order that they were added to the field set.
  1. Click the user menu (top right) > Manage settings > Custom Fields.
  2. Select the Matter custom fields or Contact custom fields upper subtab.
  3. Click Modify order.
  4. Drag and drop the custom fields to rearrange them, then click Save order.
