Create Workflows

Note: This article describes unified Clio. Unified Clio is available to firms in stages, so your account may still use the old experience. To switch to the old experience, open the user menu. Then select Switch to the old experience. Your data and settings are the same in both experiences.

In Clio, you can create a workflow by describing a firm process in plain language or by starting from a sample prompt. Each step is reviewable and editable before the workflow runs. The result is a tested workflow, ready to activate.

Describe a workflow

A workflow starts with a description of the firm process. Describe a process, and the agent on the New Workflow page turns the description into steps and asks a question when a detail is unclear.

Tip: Enter a description that answers these three questions to build a more complete workflow:

  • What starts the work, such as a new matter or a set schedule?
  • What actions happen next, such as creating a task or updating the matter?
  • Who reviews and approves the work?

Describe a process in the chat

  1. Go to Automations > Workflows.
  2. Select New > New workflow.
  3. Enter a description of the process in the chat box.
  4. Select the arrow to send the description.
  5. Answer any question the agent asks in the chat box.

Start from a sample prompt

Tip: For a first workflow, start with Set up my default folders, the simplest sample prompt.

  1. Go to Automations > Workflows.
  2. Select New > New workflow.
  3. Select sample prompt from Clio.
  4. Select Next or Previous to browse the sample prompts.
  5. Select Use prompt to add the prompt to the chat box.
  6. Edit the prompt to match the firm's process, for example, the folder names the firm uses.
  7. Select the arrow to send the prompt.

Review workflow steps

After the agent processes the description, the Overview lists the trigger first, then each step in order. Review every step before testing the workflow, because each step acts on real records when the workflow runs.

Trigger

What starts the workflow, for example This workflow starts on a schedule when: followed by the schedule.

Tool step

An action in Clio, such as Search Matters, Create Note, or Create Task.

Condition step

A decision point. The steps under Yes run when the condition is met, and the steps under No run otherwise.

Human approval step

A pause for a person to review the work. The steps under Approved run after approval, and the steps under Rejected run after a rejection.

  1. Go to Automations > Workflows > Saved Workflows.
  2. Select the workflow name.
  3. Select a step in the Overview.
  4. Read the step Description in the Config tab to confirm what the step creates, changes, or sends.

Note: Each run executes on a single record, such as one matter, unless the workflow includes a bulk step.

Edit workflow steps

Change a workflow by requesting the change in the chat, by editing a step in the Config tab, or by working on the canvas in the Editor. After each change, review the Overview to confirm the steps match the request.

Request a change in the chat

  1. Go to Automations > Workflows > Saved Workflows.
  2. Select the workflow name.
  3. Enter the change in the chat box.
  4. Select the arrow to send the request.
  5. Review the Overview to confirm the change.

Edit a step

  1. Go to Automations > Workflows > Saved Workflows.
  2. Select the workflow name.
  3. Select a step in the Overview or the Editor.
  4. In the Config tab, edit the step settings, such as the Label, the Description, or the priority of a task. The settings depend on the step type.
    • Some settings can be left for the agent to decide when the workflow runs.

Edit steps in the Editor

In the Editor, each step is a card on a canvas, labelled Trigger, Tool, or Logic.

  1. Go to Automations > Workflows > Saved Workflows.
  2. Select the workflow name.
  3. Select Editor.
  4. Select the plus sign (+) between two steps to add a step there.

Save and test workflows

You can save a workflow as a draft before testing it. Testing runs the workflow once, on the firm's real data.

Important: Testing a workflow runs it on your firm's real data. Every record a step creates, updates, or sends stays in Clio. To test without affecting client data, create a test matter and select it as the input.

Save a workflow as a draft

  1. On the workflow page, select Save workflow.
  2. Enter a Name.
  3. Enter a Description (optional).
  4. Under Status, select Draft.
  5. Select Save workflow.

Test a workflow

Before testing, create a test matter. Learn how in Create Matters.

  1. Go to Automations > Workflows > Saved Workflows.
  2. Select the workflow name.
  3. Select Test.
  4. Complete the required fields, for example select the test matter in Matter.
  5. Select Run Workflow. The results open in the Test tab.

Read test results

The Test tab lists the result of each step, followed by an Output summary. The output links to the records the run created, such as a task or a document. A status of Completed means the run finished. Read each step result to confirm which steps ran and which steps were skipped, and select Show more for the full output.
