Customize Grow AI

Before Grow AI starts working on your leads, administrators can set the firm's practice areas, specify the information to collect from each lead and the questions to ask leads, and the languages you want Grow AI to respond in. These settings apply to every Grow AI lead intake channel.

You manage your customizations from the Lead screening agent page in your Clio Grow lead inbox. To open it, go to Leads, then click Lead screening agent. Alternatively, click the user menu (top right) > Grow settings > Grow AI.

You set up your customizations using the in-product chat option, where you describe what you want in natural language and Clio's AI sets up your criteria for you. You can also set up your criteria yourself, or adjust what Clio's AI has set up for you.

Important: Add your intake criteria before you install your agent. Until you add the criteria, Grow AI does not know which matters your firm takes or what to ask leads about.

Configure Grow AI with chat

You can configure Grow AI by chatting with it. Describe what you want and Grow AI sets this up for you. This chat option works alongside the settings panel, so you can switch between chatting and editing settings yourself at any time. Refer to the sections below to understand how you can edit the criteria Clio's AI has set up for you.

You can specify any or all of the following:

  1. Go to Clio Grow > Leads, then click Lead screening agent. Alternatively, click the user menu (top right) > Grow settings > Grow AI.
  2. In the chat, use natural language to describe what you want. For example:
    • Help me set up my intake criteria. We specialise in divorce, parenting arrangements, and property settlements in New South Wales only. For divorce, ask about the date of separation and whether children are involved. We offer 30-minute consultations with Mei Tran. Consultations cost $150 including GST, and we offer video or in-person meetings. Our office hours are 9:00–17:00, Monday to Friday. Introduce Grow AI as the AI intake assistant for Calloway & Reid Lawyers.
    • Help me set up my intake criteria. We're Marlow Injury Law in Brisbane, and we specialise in personal injury: motor vehicle accidents and slips, trips and falls, serving Queensland. Ask every lead for the date of the incident and whether they've seen a doctor or been to hospital. We work on a no win, no fee basis. Add Mandarin as an additional language.
  3. Review the result in the matching settings card.
    • Edit the criteria directly if you want to adjust anything. Refer to the sections below for instructions.
    • Continue the conversation in the chat to let Clio's AI make adjustments based on your instructions.

Update your firm's details from your website

Rather than building your intake criteria from scratch, you can have Grow AI read your firm's website and suggest criteria based on what it finds.

  1. Go to Clio Grow > Leads, then click Lead screening agent. Alternatively, click the user menu (top right) > Grow settings > Grow AI.
  2. Click the blue Configure tab (the tab with two chevrons).
  3. At the bottom of the page, click Rescan website.
  4. Follow the prompts, then review what Grow AI suggests.

Once complete, Grow AI shows the website it used next to Built using at the bottom of the panel. Review the imported criteria carefully and adjust anything that does not reflect the matters your firm currently takes. You can adjust the intake criteria, FAQs, and language(s) the intake agent responds in.

Set your intake criteria

Your intake criteria tell Grow AI which matters your firm takes and what to collect from a lead before booking them. Grow AI screens each lead against these criteria to produce a fit assessment.

Note: Leads that do not match your criteria are not turned away. They arrive in your lead inbox marked for review, so your team can decide how to proceed.

Manage practice areas

  1. Go to Clio Grow > Leads, then click Lead screening agent. Alternatively, click the user menu (top right) > Grow settings > Grow AI.
  2. Click the blue Configure tab (the tab with two chevrons).
  3. Click Intake criteria.
  4. Add, edit, or delete a practice area.

Tip: Your lead-friendly label is what leads see as a clickable option at the start of the web chat, so use labels your leads would intuitively understand rather than your internal terms. You can add the same practice area more than once with different labels.
    1. To add a practice area, click Add practice area, fill in the details, and click Save. If your practice area does not appear on this list, add it to the firm's options.
    2. To edit a practice area, click the edit (pencil) icon for the practice area, make updates to the details, and click Save.

Note: To change the practice area category or practice area, delete the practice area from your intake list and create a new practice area intake option.
    3. To delete a practice area, click the delete (trash can) icon, then click Delete.

Choose the information to collect

For each practice area, you can choose what Grow AI collects from a lead during the conversation.

  1. Go to Clio Grow > Leads, then click Lead screening agent. Alternatively, click the user menu (top right) > Grow settings > Grow AI.
  2. Click the blue Configure tab (the tab with two chevrons).
  3. Click Intake criteria.
  4. Click a practice area to open it.
  5. Review the fields under Information to collect. Some information is always collected, such as:
    • Contact details: full name, email address, and phone number
    • A brief summary of the lead's situation
    • The location of the legal matter, which Grow AI uses to determine whether the lead qualifies
  6. Manage the optional fields:
    • To add a field, click Add field, then select a field from the list. The available fields depend on the practice area. For example, a divorce practice area offers fields such as date of marriage, date of separation, and whether children are involved.
    • To remove an optional field, click the delete (trash can) icon next to it, then click Delete question.
  7. Click Save.
Tip: Collect only what you need to decide whether a lead is a good fit. Grow AI gathers these details conversationally, so a long list makes for a longer conversation and more chances for a lead to drop off.

Set the locations you serve

For each practice area, add the locations where your firm offers that service. Grow AI compares a lead's location against this list when assessing fit.

  5. Under Locations where this service is offered, select a location. You can add up to 10 locations.
  6. Click Save.

Set up appointment booking

When appointment booking is on, Grow AI offers a consultation to leads whose location and practice area match your criteria and who raise no conflicts.

  5. Toggle Appointment booking on.
  6. Select an Appointment type.

Note: Appointment types come from your Clio Scheduler settings. If you do not see the option you want, set it up in your Clio Grow settings first.
  7. Optional: Next to After booking, click Edit to change what happens to the lead once the consultation is booked, then click Save.

Set your frequently asked questions

Grow AI answers common questions from leads using the FAQ you set here, so leads get your firm's answers rather than generic ones. Clio provides a starting set of questions and answers that you can edit, remove, or add to.

  1. Go to Clio Grow > Leads, then click Lead screening agent. Alternatively, click the user menu (top right) > Grow settings > Grow AI.
  2. Click the blue Configure tab (the tab with two chevrons).
  3. Click FAQ.
  4. Manage your questions:
    • To edit an existing question, click the arrow next to it, update the Question or Answer, then click Save.
    • To remove a question, click the delete (bin) icon next to it, then click Delete.
    • To add a question, click Add question, enter the Question and Answer, then click Save.

Set your languages

Grow AI replies to leads in the languages you select.

  1. Go to Clio Grow > Leads, then click Lead screening agent. Alternatively, click the user menu (top right) > Grow settings > Grow AI.
  2. Click the blue Configure tab (the tab with two chevrons).
  3. Click Languages and appearance > Languages.
  4. Select a Primary language. Grow AI uses this for the first message in a conversation, and for any lead whose language you have not added.
  5. Optional: Under Additional languages, add any other languages you want to support. Leads who write in one of these languages get a reply in the same language.
  6. Click Save.

Set how Grow AI introduces itself

The Appearance settings control how Grow AI introduces itself and discloses that it is AI on each channel.

  1. Go to Clio Grow > Leads, then click Lead screening agent. Alternatively, click the user menu (top right) > Grow settings > Grow AI.
  2. Click the blue Configure tab (the tab with two chevrons).
  3. Click Languages and appearance > Appearance.
  4. Click Email or Web chat.
  5. Update the settings for that channel.

Test how Grow AI responds

Before you install your agent for email or web chat, you can hold a conversation with Grow AI as though you were a lead, to check that your criteria, questions, and booking work the way you expect. Refer to Test the email agent and Test the web chat agent for more information about how to work through a realistic inquiry for each practice area you take. Check that Grow AI asks for the details you expect, answers questions the way your firm would, and offers a consultation when the lead qualifies.
