Applying trust funds to a bill settles a client's balance using money your firm already holds for them, without waiting on an outside payment. You apply trust funds held at the client or matter level during bill approval or after a bill is approved. The bill moves to paid, or shows the remaining balance when trust funds do not cover the full amount.

Note: When you pay a bill with client-level trust funds, Clio Manage generates three transactions: a transfer to the matter balance (which cannot be edited), a transfer from the client-level trust funds, and a transfer to your operating account to pay the invoice. When trust funds do not cover the full payment, the bill stays unpaid with the remaining balance.
Approve a bill and apply trust funds
- Go to Billing, or the Bills subtab in a matter or contact.
- Select the Draft or Pending approval subtab.
- Click the down arrow next to Edit and select Approve & apply trust. To act on several bills, select them with the checkboxes, click the down arrow at the top of the table, and select Approve & apply trust.
- Select your operating account as the destination account.
- Click Approve & apply trust.
Apply trust funds to an approved bill
- Go to Billing, or the Bills subtab in a matter or contact.
- Select the Unpaid subtab.
- Click the down arrow next to Send and select Record payment. To act on several bills, select them, click the down arrow at the top of the table, and select Apply trust.
- From the Source dropdown, select the client's trust funds, then complete the remaining details.
- Click Record payment, or Apply trust for a bulk action.
Tip: For a quicker single-bill option, click the down arrow next to Send and select Apply trust funds, select the destination account, and click Apply trust.
