Deactivate Users and Cancel Account

In Clio, only the primary subscriber and administrators can change account settings. This includes deactivating and reactivating users, removing unused licenses, and canceling the account.

Deactivate users

You can deactivate firm users who no longer need access to Clio Manage or Clio Grow. Doing so will hide their calendar entries, but their previous activities and tasks will not be removed. If they were responsible for working on a matter, this information will also remain in the matter until reassigned. There is no option to remove a user permanently.

Once a user has been deactivated, their license will become available allowing you to invite a new user to use the licence. Deactivating a user does not remove their licence from your account, meaning you will still be charged for the licence even if no user is assigned to it. If you have unused licenses in your Clio Manage and/or Clio Grow accounts that you do not anticipate needing in the near future, you can remove that licence from Clio Manage or remove it from Clio Grow. Any cost savings associated with removing a license will be reflected in your next billing cycle (whether monthly or annually).

Note: Administrators cannot deactivate the primary subscriber's account.

Clio Manage Clio Grow

Follow these steps to deactivate a user in Clio Manage:

Note: If you deactivate a user who has a license under Clio's Personal Injury Add-On, the deactivated user will also lose their personal injury license. If you reactivate the deactivated user, they will not retain their personal injury license.

  1. Go to Settings > Manage Users.
  2. For the user you want to deactivate, click the down arrow next to edit, then click Deactivate.
  3. When the warning prompt appears, confirm the action by selecting Deactivate.

 

Reassign work

As a firm administrator, you can reassign tasks, matters, and calendar events from one user to another within Clio Manage. This allows you to redistribute workloads and ensure continuity for open and pending matters.

Important: You cannot reassign:
  • Work associated with closed matters.
  • Tasks and calendars not linked to a matter.
  • Calendar events where the user is only an attendee.
  • Restricted matters (matters with permissions set to 'Me', meaning that firm user has access)
Tip: To identify if a user has restricted matters, filter the Matters list by Admin view and select Matters I am restricted from.
  1. Go to Settings > Manage Users.
  2. Optional: Use Inactive tab to reassign work from users who were deactivated in Clio Manage.
  3. Locate the user whose work you need to reassign, and then click Reassign work.
  4. Select the firm user(s) to reassign the work to for Matters, Tasks, and Calendar Events.
  5. Click Reassign work.

    Note: The newly assigned firm user will be notified of the reassignment via an in-app notification and email.

 

Reactivate users

Important: If the reactivated user is signing in with the same email address as their deactivated account, you may need to contact Clio's support team to have their email released before they can access their account.

Clio Manage Clio Grow

Follow these steps to reactivate a user in Clio Manage:

  1. Go to Settings > Manage Users.
  2. Select the Inactive subtab.
  3. For the deactivated user, click Activate.
  4. Confirm the action by clicking Activate again.

 

Cancel account

Canceling your Clio account does not incur additional or hidden costs. Just remember to cancel before your renewal date to avoid annual charges. A user with administrator permissions can cancel their Clio Manage and/or Clio Grow account by calling Clio's support team.

  1. In Clio Manage, go to Settings > Account and Payment Info.
  2. Click Close Account.
  3. Select the reason for closing your account.
  4. Call Clio's support team for verification.
  5. Click I Want To Permanently Close My Account.
