Clio Grow Contacts Overview

In Clio, contacts are general or personal contacts, potential clients or leads, clients, companies, co-counsel, opposition counsel, etc. When you add a matter to a contact, the contact becomes a client for whom you keep track of important case information. You can view contacts by viewing an individual contact card, but you can also view all contacts and data in the main Contacts page in both Clio Grow and Clio Manage.

Note: Once you opt in, contacts automatically sync between linked Clio Grow and Clio Manage accounts. You can also manually initiate a sync to push recent updates. For more information, see Filter, Export, and Sync Contacts.

View all contacts in overview page

Since Clio Grow is a client intake tool used to track prospective clients, contacts in Grow can be in one of four states: lead, clients, did not hire, or unassigned. Leads are prospective clients. Clients are cases that your firm has decided to take on. Did not hire refers to prospective clients whose matters you will not take on. Unassigned refers to an unassigned state. You can view contacts by status once they have been created in the main Contacts page:

  1. Go to Contacts.
  2. Select View all, Leads, Clients, Did Not Hire, or Unassigned.
  3. Optional: Click Apply filters to sort contacts by specific parameters.

 

View individual contact cards

When you go into a contact card page for a contact in Clio Grow, you can view all contact-specific data and information in one place. To access a contact card page:

  1. Go to Contacts.
  2. Find your contact and click the contact’s name.
Tip: You can also search for your contact in the search bar.

The contact card page shows contact-specific information such as contact details, the contact’s matters, contact custom fields, and a timeline of activities done on the matter. You can also add work details on this page:

Tasks
This section shows tasks that need to be accomplished and tasks that have been finished. You can also add tasks for yourself and assign tasks to other users. Learn more about tasks here.
Notes

Emails

Add and remove contact custom fields

Once you have created custom fields in Clio Grow or synced custom fields from Clio Manage, you can add custom fields to your contacts in Clio Grow. You can also remove custom fields from your contacts

  1. Go to Contacts.
  2. Find your contact and click the contact's name.
  3. Under the Custom fields section, click Add field.
  4. In the dropdown, select a custom field and then complete the required details for the custom field.
  5. Click Add to add the custom field and continue adding additional custom fields. Click Add & Close to add this custom field only.

 

Understand and opt in to Grow and Manage shared contacts

Shared contacts is a feature that syncs basic contact information between Clio Grow and Clio Manage. This means that when you create a new contact or edit a contact's basic information in one application, the changes will automatically update in the other. This helps you save time on data entry, improves the accuracy of contact information across Clio Grow and Clio Manage, helps prevent duplicate records, and streamlines conflict checks.

Automatic enrollment: The shared contacts feature automatically enables contact syncing for new Clio Grow users who link their account to Clio Manage and existing Clio Grow users with a linked Clio Manage account and no contacts.

Manual opt-in: The primary subscriber for your firm account can manually opt in to shared contacts by following the steps below. If there is a conflict or duplicate data during the opt-in period, you can choose to retain either the Clio Grow or Clio Manage contact data.

Important: Once you opt in, you cannot revert to separate contact databases.
Note: Currently, only basic contact information syncs between Clio Grow and Clio Manage. This includes the contact's name, email address, phone number, address, date of birth, and tags.

Opt in to shared contacts:

  1. Log in to Clio Grow using the same email address as your Clio Manage account.
  2. Go to Contacts.
  3. Locate the banner at the top, and click Opt-in.

 

Manage contact notes

In Clio Grow, you can add, edit, and delete notes.

  1. Go to Contacts and click a contact’s name.
  2. Select Notes.
  3. Enter the note details and click Add note.
