Clio Manage Data Migration Overview

Migrating to Clio Manage transfers your firm's existing contacts, matters, activities, and other records into your new account. This article covers what data can and cannot be migrated, and how the migration process works.

Note: These instructions cover self-serve migrations. If your firm has complex data or you would prefer hands-on assistance, Clio's migrations team offers a guided migration service. A team member will walk you through the export process and manage the import on your behalf. To request a guided migration, contact Clio Support.

What can be migrated?

The following data types can be migrated to Clio Manage during a standard migration.

Note: If your Clio Manage account includes preconfigured custom fields or matter templates for specific practice areas, review Preconfigured Accounts before beginning your migration. Preconfigured settings may affect how imported data is mapped.

  • Contacts
  • Matters
  • Related contacts
  • Tasks
  • Notes
  • Calendar events
  • Emails
  • Phone logs
  • Unbilled activities (time entries only)
  • Accounts receivable balances (a single line item per matter, representing the summative balance at the time of export)
  • Trust balances (a single line item per matter or contact, representing the balance at the time of export)
  • Documents (subject to scoping and additional fees based on volume)

 

What cannot be migrated?

The following data types cannot be migrated to Clio Manage.

  • Accounting and financial history, including trust account transactions, trust account requests, trust account payments, operating account transactions, invoices, billed time entries, accounts receivable ledgers, bill payments, and historical bills
  • Billable rates (user rate, client rate, and matter rate)
  • Reports
  • User permissions
  • Settings

 

Understand the migration process

A self-serve migration follows four steps. The time required at each step depends on the size and complexity of your data.

Step 1: Export your data

Export your data from your previous practice management software. Find export instructions for your previous software in the Software Migration Guides.

Important: Once you export data from your previous system, stop using that system immediately. Any data entered after the export will not be captured in Clio Manage and must be transferred manually.

 

Step 2: Prepare and submit your data

Before sending your data to Clio's migrations team, review and clean it to ensure accurate import. See Prepare Data for Migration for detailed preparation steps, including what to review for each data type and how to manage your firm during the transition period.

 

Step 3: Data processing

Once Clio's migrations team receives your data export, they convert it into a format compatible with Clio Manage. Processing time varies depending on the size and complexity of your data. A team member will contact you with a timeline.

 

Step 4: Import and review

Clio imports the processed data into your Clio Manage account. Once the import is complete, review your data for accuracy and contact the migrations team immediately if any corrections are needed.

Important: Do not modify imported data until you have confirmed it is accurate. Modifications can prevent the import from being reverted if corrections are needed.
