Preconfigured Accounts

Clio Manage and Clio Grow allow you to create customizations to suit the specific needs of your firm. Depending on your firm’s practice area and how your firm operates, your account may be preconfigured with ready-to-use customizations when you sign up with Clio. These customizations are designed to save you time during setup so that you can get started quickly. Preconfigured accounts will have ready-to-use, practice-area-specific custom field sets, matter stages, and matter templates in Clio Manage, and intake forms in Clio Grow.

Note: Preconfigured accounts are currently available to eligible firms with practice areas in Family Law, Criminal Law, or Personal Injury.

Understand preconfigured custom fields

The preconfigured custom field sets in Clio Manage help you store and organize the information that you typically need about your clients and their matters.

To view the custom fields that your account has been preconfigured with, go to Settings > Custom fields. Select the Matter custom fields or Contact custom fields subtab to view the custom fields and custom field sets that have been added to your account. The information below provides an overview of the custom fields and custom field sets you may see.

 

Family Law

The Family Law custom fields preconfiguration comprises five matter and two contact custom field sets.

Matter custom fields

  • Divorce Case Info: This set allows you to capture information like the client's and opposing party's roles in the case, opposing counsel, judge, court details (number and county), and key procedural dates like filing, service, and answer dates.
  • Paternity Case Info: This set allows you to capture information like the client's and opposing party's roles in the case, opposing counsel, judge, court details (number and county), key procedural dates (filing, service, and answer), and the reason for the paternity case.
  • Child Support and Custody Case Info: This set allows you to capture information like the client's and opposing party's roles in the case, opposing counsel, judge, court details (number and county), key procedural dates (filing, service, and answer), and the client's specific child custody goals.
  • Marriage Info: This set allows you to capture information like the date and place of marriage, the date of separation, the date of the prenuptial agreement, whether spousal maintenance or a name change is requested, the number of children, and the reason for the divorce.
  • Minor Children: This set allows you to add personal information about children to the matter.

Contact custom fields

  • Personal Information: This set allows you to capture foundational identity and status details for individuals (clients, opposing parties, or children), including initials, aliases, Social Security Number, Driver's License Number, gender, military status, and their relationship within the family. It also tracks their current employment and marital status.
  • Attorney Information: This set allows you to capture an attorney’s state bar number.

Criminal Law

The Criminal Law custom fields preconfiguration comprises two matter and one contact custom field sets.

Matter custom fields

  • Case Info: This set allows you to capture initial details about the alleged crime, including the charge level (e.g. Misdemeanor/Felony), the specific charges, the date and location of the alleged crime, a detailed incident description, and information related to the defendant's driving privileges (status of license, reason for stop). It also tracks initial court information, including the date and time of the hearing.
  • Arrest Info: This set focuses on the parties and procedural details surrounding the arrest, including the names of the arresting officer and arresting agency, information about the victim, the summons or citation number, and the date, city, and county of the arrest.

Contact custom fields

  • Defendant Information: This set allows you to capture detailed identifying characteristics and history of the defendant, including aliases, gender, Social Security Number, Driver's License Number, physical attributes (height, weight, and eye color), and any details regarding prior convictions or arrests.

Personal Injury

The Personal Injury custom fields preconfiguration comprises five matter and one contact sets.

Matter custom fields

  • Incident Info: This set allows you to capture general information about the event, including the date, time, city, and county of the incident, a summary of what happened, a description of the resulting injuries, and the type of incident (e.g., slip and fall, dog bite).
  • MVA Info: This set is specifically for Motor Vehicle Accidents, capturing the date, time, city, and county of the incident, an incident summary, injury descriptions, and all relevant police details, including the report number.
  • Litigation Info: This set captures essential procedural and court details for cases that have moved to litigation, including the Case Number, Opposing Party, Opposing Counsel, Judge, Court, and key dates like the Initial Filing, Service, and Answer Dates.
  • Defense Insurance: This set allows you to track comprehensive information for an insurance policy, capturing the insurer's name, the adjuster's name, the Claim Number, Policy Holder, Policy Number, and Policy Limits for each.

    Note: You can add two additional field sets for a second and third defense insurance organization.

  • Client Insurance: This set allows you to capture information like the insurance company, adjuster, claim number, policy holder, and policy number.

Note: Depending on the type of matters your firm typically works with you may choose to remove the Incident Info or MVA Info custom fields set, since these sets collect information for different types of incidents. Alternatively, you can keep both sets and collect information in the relevant set for each client.

Contact custom fields

  • Personal Info: This set allows you to capture information like a social security number, drivers license number, and gender.
  • Attorney Information: This set allows you to capture an attorney’s state bar number.

Wills & Estates

The Wills & Estates custom fields preconfiguration comprises seven matter sets related to Estate Planning, six matter sets related to Probate, and one contact custom field set.

Matter custom fields: Estate Planning

  • Estate Info: This set captures general details about the estate, including the total estate value, whether it is considered a taxable estate, the date the documents are executed, if there are any pre-existing estate planning documents, and the client's overall estate planning goals.
  • Client Will: This set is used to record the names of up to four designated individuals who will serve as the Personal Representatives (or executors) for the client's Last Will and Testament.
    Note: You can add an additional field sets for a second client.
  • Client Trust: This set is used to used to record the names of up to four designated individuals who will serve as Trustees for each client's respective Trust documents.
    Note: You can add an additional field sets for a second client.
  • Client DPOA: This set is used to record the names of up to four designated individuals who will serve as Agents under each client's respective Durable Power of Attorney.
    Note: You can add an additional field sets for a second client.
  • Client Healthcare POA: This set is used to record the names of up to four designated individuals who will serve as Healthcare Agents under each client's respective Healthcare Power of Attorney.
    Note: You can add an additional field sets for a second client.
  • Client Minor Guardians: This set is used to record the names of up to four designated individuals who will serve as Minor Guardians for each client's children, as nominated in their documents.
    Note: You can add an additional field sets for a second client.
  • Asset Info: This set allows for a high-level inventory of the client's assets, including whether they own real estate, bank accounts, stocks and bonds, life insurance, retirement plans, or business interests, along with details about the number of properties and specific notes for each asset category.

Matter custom fields: Probate

  • Case Info: This set captures crucial administrative and financial details about the probate process, including the county and case number, the probate estate value and type, whether the estate is testate or intestate, who is serving as the administrator or executor, status of the original will, bond details, key dates (initial filing, order of probate, date of letters), and information about any known disputes.
  • Decedent Info: This set captures essential identifying information about the deceased, including the decedent's legal name, their date and place of death, and their marital status at the time of death.
  • Testate Estate Info: This set captures details about the deceased's planning documents, including the existence and date of the Will, any Codicils or Amendments and their dates, and the existence and details (name and date) of any Trusts.
  • Heirs: This set is designed to track and record the names of up to ten Heirs (those who inherit under intestacy laws) along with their respective percentage shares.
  • Beneficiaries: This set is designed to track and record the names of up to ten named Beneficiaries (those who inherit under a will or trust).
  • Asset Info: This set provides a detailed inventory of the decedent's assets at the time of death, including whether they owned real estate, bank accounts, stocks/bonds, life insurance/annuities, retirement plans, or business interests, along with fields to record specific details for each asset category.

Contact custom fields

  • Contact and ID Details: This set allows you to capture essential identifying and communication preferences, including the client's preferred contact method, preferred pronouns, Driver's License Number, and current marital status.

Business Formation and Compliance Details

The Business Formation and Compliance Details custom fields preconfiguration comprises five matter and one contact custom field sets.

Matter custom fields

  • Business Entity: This set allows you to capture foundational registration and identification details for the business, including the Business Name, Entity Type, Entity Formation Date, File Number, EIN, and the name of the Registered Agent.
  • Business Operations: This set captures information about the scope and nature of the business activities, including its Business Purpose, primary Location, and whether it conducts interstate or international business, along with the specific states or countries of operation.
  • Owners: This set is used to record the names of up to four primary Owners of the business entity.
  • Managers: This set is used to record the names of up to four primary Managers responsible for the business's day-to-day operations.
  • Officers: This set is used to record the names of the primary corporate Officers, specifically the President, Treasurer, and Secretary.

Contact custom fields

  • Basic ID and Contact: This set allows you to capture essential identifying and communication preferences, including the client's preferred contact method, preferred pronouns, and Driver's License Number.

Intellectual Property

The Intellectual Property custom fields preconfiguration comprises four matter and one contact custom field sets.

Matter custom fields

  • Work Details: This set allows you to capture foundational information about the copyrighted work, including the Title, a general Description of Work, the date it was Created, whether it is Registered (including the number and date), and whether there are any existing Disputes or Other Licenses.
  • License Terms: This set captures the specific terms of the license agreement, including the client's Role, the specific Rights Involved, the Territory and Duration of the license, details on the License Fee (amount and type), whether the license is Exclusive, and any relevant Restrictions.
  • Patent Details: This set captures foundational information about the patent, including the Title, Patent Type, Registration Number and Issue Date, names of Inventors and Owners, details on any existing Disputes or Unlicensed Use, and whether there are Other Licenses in place.
  • License Terms: This set captures the specific terms of the license agreement, including the client's Role, the specific Rights Involved, the Territory and Duration of the license, and details on the License Fee (amount and type), and whether the license is Exclusive.
  • Mark Details: This set is used for Trademark applications, capturing details about the Mark itself, the specific Goods and Services it covers, its Registration Number, and important usage information like Prior Filings, whether the mark is In Use (including the first use date), and details about any potentially Similar Marks.
  • Patent Details (Application): This set is used for new Patent applications, capturing the Title and Patent Type (Utility/Design/Provisional), the Created Date, whether it was created at Work, the anticipated Registration Number and Issue Date, details on any Public Disclosure, whether there was a Prior Filing or Prior Search/Attorney involvement, a description of the Problem Solved, and an explanation of How it Works.

Contact custom fields

  • Personal Identifiers: This set allows you to capture essential identifying and communication preferences, including the client's preferred contact method, preferred pronouns, and Driver's License Number.

Employment Law

The Employment Law custom fields preconfiguration comprises five matter and one contact custom field sets.

Matter custom fields

  • At Issue Employment: This set allows you to capture detailed information about the job central to the dispute, including the Date of Hire, Date of Resignation/Termination, the starting and ending Job Titles and Rates of Pay, the specific Reason for Termination, and details on Employment Type and any Union involvement (name and representative).
  • At Issue Employer: This set focuses on the business entity involved in the dispute, capturing the Employer's name, whether they are an Out-of-State Employer, the Size of the Employer (for jurisdictional purposes), and the specific Employer Industry.
  • Current Employment: This set captures the client's current job details, including the Current Date of Hire, Job Title, Rate of Pay, Employment Type, and the name of the Current Employer.
  • Employment COAs: This set is used to track all potential Causes of Action (COAs) being pursued, allowing you to quickly identify claims related to Sexual Harassment (including Quid Pro Quo), Wrongful Termination (discriminatory and non-discriminatory), and various forms of Discrimination (Gender, Sexual Orientation, Disability, Age, Racial, Religious, National Origin, Pregnancy Status, and Veteran Status).
  • Filing Details: This set captures crucial administrative and court information for the matter, including the County, Case Number, and Filing Date.

Contact custom fields

  • Essential Client Data: This set allows you to capture crucial identity and communication details, including the client's preferred contact method, preferred pronouns, and Driver's License Number.

Immigration Law

The Immigration Law custom fields preconfiguration comprises four matter and one contact custom field sets.

Matter custom fields

  • Immigration Status: This set allows you to capture crucial details about the client's current status and history, including the Application Type, Date Application Filed, USCIS Tracking Number, Alien Registration Number, current Immigration Status and its Expiration Date, Country of Birth, Country of Citizenship, Date of Last Entry, and a history of their Prior Immigration History.
  • Immigration Documents: This set captures notes and details regarding the client's essential travel and identity documents, including Passport Details and information for Other Documents used for immigration purposes.
  • Employment Details: This set captures the client's current work information, including the Employer's name, Employment Status (e.g., full-time, self-employed), and their specific Occupation.
  • Family Details: This set captures information relevant to the client's family ties, including the name and Immigration Status of their Spouse, whether they have Children, and the names of any Citizen or Resident Family members.

Contact custom fields

  • Personal Information: This comprehensive set allows you to capture a client's core identity and communication preferences, including their preferred contact method, preferred pronouns, Driver's License Number, marital status, and various physical attributes (height, weight, eye color, and hair color).

Civil Litigation

The Civil Litigation custom fields preconfiguration comprises four matter and one contact custom field sets.

Matter custom fields

  • Case Info (State): This set captures the essential identifying and procedural details for a state-level litigation matter, including the Case Number, the County and Court where the case is filed, the assigned Judge, the Filing Date, the Final Order Date, and the case's ultimate Final Disposition. 
  • Case Info (Federal): This set captures the essential identifying and procedural details for a federal-level litigation matter, including the Case Number, the District and Court where the case is filed, the assigned Judge, the Filing Date, the Final Order Date, and the case's ultimate Final Disposition. 
  • Dispute Details: This set allows you to document the core information of the dispute, including a detailed Dispute Description, the Dispute Location, the relevant Dates of Dispute, an assessment of Damages, and the client's overall Litigation Goals. 
  • Parties: This comprehensive set organizes the key actors in the litigation, detailing up to four Plaintiffs and their respective Attorneys, as well as up to four Defendants and their respective Attorneys.

Contact custom fields

  • Personal Information: This set captures a contact's core identity and communication preferences, including their Preferred Contact Method, Preferred Pronouns, and their Driver's License Number.

Real Estate

The Real Estate custom fields preconfiguration comprises four matter and one contact custom field sets.

Matter custom fields

  • Contract Details: This essential set captures the primary financial and time-sensitive elements of the real estate transaction contract, including the Purchase Price, the projected Closing Date, the Earnest Money Amount and its Due Date, the Contract Date, and the managing Title Company. It also records details for critical contingencies: Inspection Contingency and its deadline, Financing Contingency and its deadline, and Sale Contingency and its deadline.
  • Property Details: This set captures all identifying and physical characteristics of the property being transacted, including the full street address (Street Address, City, State, Zip Code), the County, the Tax ID Number, and the detailed Legal Description. It also records if there is a Homeowner Association and the associated Association Dues, as well as the Property Type.
  • Sellers: This set identifies the parties selling the property, detailing up to four Sellers, their Attorney for Sellers, and their designated RE Agent for Sellers.
  • Buyers: This set identifies the parties purchasing the property, detailing up to four Buyers, their Attorney for Buyers, their designated RE Agent for Buyers, and the Lender for Buyers.

Contact custom fields

  • Personal Information: This set captures a contact's core identity and communication preferences, including their Preferred Contact Method, Preferred Pronouns, and their Driver's License Number.

Bankruptcy

The Bankruptcy custom fields preconfiguration comprises four matter and one contact custom field sets.

Matter custom fields

  • Case Info: This critical set captures the core details of the bankruptcy case, including the specific Case Type, the Filing Date, the Case Number, the District Court, the assigned Judge and Trustee, the date for the 341 Meeting Date (Meeting of Creditors), the Proof of Claim Deadline, the Objection Deadline, and the final Discharge Date.
  • Chapter 13 Plan: This set is specific to Chapter 13 cases, tracking the key dates and financial commitments of the repayment plan, including the Plan Confirmation Hearing Date, the Plan Completion Date, the Plan Length, and the required Monthly Plan Payment.
  • Additional Info: This set captures important background details that may affect the case, including whether the debtor has a Prior Filing and its Details, whether there are any Pending Actions and their Details, and the client's overall Filing Goals.
  • Income: This set documents the debtor's sources of revenue, recording if the debtor is Employed and the Employment Details, if the Spouse is Employed and their Employment Details, and whether there is Other Income and its Details.
  • Assets: This comprehensive set details the debtor's property and financial movements. It tracks the existence and details of Real Estate, Vehicles, Accounts, and Personal Property. It also captures information about Recent Transfers (property sold or given away) and any Purchase or Advance details made within a relevant timeframe.
  • Debts: This set records crucial information regarding the client's financial obligations, including details on Late Payments, any co-signing arrangements (Co-Signing and Details), information on Secured Debt (e.g., mortgages, car loans) and its Details, and a summary of Unsecured Debt (e.g., credit cards).

Contact custom fields

  • Personal Information: This set captures a contact's core identity and communication preferences, including their Preferred Contact Method, Preferred Pronouns, and their Driver's License Number.

 

Manage custom fields in a preconfigured account

When you import custom fields from your previous software into a preconfigured Clio Manage account, you have several options to manage how they display in your matters. This helps align custom fields with your tailored matter templates. Standard fields are custom fields preconfigured into your matter templates. You may need to update your custom fields to manage imported fields, standard fields, and any existing fields created in your Clio Manage.

Option 1: Use matter templates for new matters. Existing matters keep original data.  
  • This option requires no extra effort and is most suitable for firms with many matters that do not last for extended periods.
  • Use preconfigured matter templates immediately for new matters.
  • Leave existing matters in their original format.
    • If you have migrated matters and applied custom fields, all fields remain in the General custom fields section of a matter.
  • Existing and new matters will have different layouts.
Option 2: Apply matter templates to all imported matters. Retain original field data. 
  • This option requires low effort and is most suitable for firms with multiple users looking for a consistent experience.
  • All matters will have the same appearance and functionality.
  • Apply a matter template to existing matters to organize custom fields according to the template.
  • Simple text Custom fields with the same name as standard template fields will automatically move into the template.
  • Imported custom fields (including _old fields) remain in the General section.
  • Data labelled _old will not automatically move with the standard template fields. They cannot automatically populate templates.
    1. Open an imported matter, click Edit, and apply a matter template.
    2. The matter template will organize the template custom fields according to the template, and imported custom fields remain in the General custom field section.
    3. Click Save matter.
Option 3: Apply matter templates to existing matters and manually move old data.

This option requires medium effort, depending on the number of _old fields and matters you need to update.

  • This option is most suitable for firms with fewer, longer-lasting matters that rely heavily on document automation and automated workflows.
  • Imported matters and new matters will appear identical.
    1. Open an imported matter, click Edit, and apply a matter template.
    2. For each custom field ending in _old, copy the information from the _old field into the matching standard template Clio Manage field.
    3. Delete the _old custom fields.
    4. Click Save matter.

 

Understand preconfigured matter stages

Matter stages are kanban-style boards that you can use to visualize and track matter progress in Clio Manage. You can view your ready-to-use matter stages in your Clio Manage account. Once you create a matter in Clio Manage, you can add it to a matter stage and move it between stages to help you keep track of the matter’s progression.

 

Understand preconfigured matter templates

In Clio Manage, you can streamline your matter creation process using matter templates. Matter templates contain preset information that will automatically populate when you create a new matter or edit an existing matter.

You can view your ready-to-use matter templates in your Clio Manage account. Learn how to use a matter template here. If you tend to use a specific template for most of your matters, you can also choose to set that template as your default for all matters.

 

Understand preconfigured intake forms

In Clio Grow, an intake form can be used to quickly and conveniently collect personal and case-specific information from prospective clients. You can view your ready-to-use intake forms in your Clio Grow account. Learn how to view and send intake forms. Once you get comfortable with using intake forms, you can learn how to create additional intake forms or how to edit or delete existing forms to suit the needs of your firm.

 

Edit or delete your preconfigurations

The preconfigurations are designed to help you get started quickly. However, if your firm has specific needs that the preconfigurations do not address, you can either edit them, or if you would like to start from scratch, you can delete them.
