In Clio Grow, you can create a record for every person and organization your firm interacts with including prospective clients, clients, co-counsel, opposing counsel, and anyone else connected to your firm's work. Using various categories and labels, you can organize your contacts, for example, tracking the client's journey with your firm.
Note: If your firm uses both Clio Grow and Clio Manage, contact records sync between the two products automatically, and you can also push a change across on demand. Refer to Sync Contacts in Clio Grow.
View all contacts in overview page
You can view all contacts in Clio Grow from the main Contacts page. Since Clio Grow is a client intake tool used to track prospective clients, you can also view specific subsets of your contacts: Prospects, Clients, Other contacts. You can click these quick filters to view a contact list for each category.
- In Clio Grow, go to Contacts.
- Select All, Prospects, Clients, or Other contacts.
These categories are informed by whether the contact has a matter and what the matter's status is.- All: Every contact in the account, whatever its client status or contact type.
- Prospects: Contacts your firm is still working to win, where no formal engagement has been reached yet.
- Clients: Contacts with at least one matter where the matter status indicates a formal engagement between the contact and your firm (e.g., a matter status of Hired or Agreement sent).
- Other contacts: Contacts without any matters or contacts whose matters ended without a formal engagement, for example where your firm identified a conflict or referred the client elsewhere.
- Optional: Click Apply filters to filter contacts by additional parameters and/or to choose how to sort them in your list.
View individual contact cards
When you go into a contact card page for a contact in Clio Grow, you can view all contact-specific data and information in one place. To access a contact card page:
- Go to Contacts.
- Find your contact and click the contact's name.
Tip: You can also search for your contact in the search bar.
The contact card page shows contact-specific information such as contact details, the contact's matters and other matters they are associated with, marketing information like source and campaign and who they were referred by, contact custom fields, and a timeline of activities done on the matter. You can also add work details on this page:
- Contact details: Email address, phone number, address, date of birth, tags, contact type, the date the contact was created, and the contact's email marketing subscription status. Click Edit contact to change any of it.
- Company: Links this person to a company contact. Click Add company to assign one.
- Custom fields: The firm-specific fields added to this contact. Click Add field to add one. See the section below.
- Marketing: How the contact found your firm, held as Source and Referred by. Click Edit to set either one.
- Client's matters: Matters where this contact is the client, each with its description and current status. Click Add matter to open a new one. Refer to Clio Grow Matters Overview.
- Associated matters: Matters where this contact holds a relationship without being the client.
- Tasks: A subtab for the work to be done for this contact. Enter a task description, assign it to a user, and set a due date to create a task without leaving the contact. Refer to Clio Grow Tasks and Checklists.
- Notes: A subtab for the context your firm records against this contact. Refer to Create and Manage Notes in Clio Grow.
- Communications: A subtab for the messages exchanged with this contact.
- Timeline: A running history of activity on the contact, covering booked appointments, leads accepted from the Leads inbox, and emails sent. Click View email on an email entry to open the full message.
Add and remove contact custom fields
Once you have created custom fields in Clio Grow or synced custom fields from Clio Manage, you can add custom fields to your contacts in Clio Grow. You can also remove custom fields from your contacts if you no longer need them.
- Go to Contacts.
- Find your contact and click the contact's name.
- Under the Custom fields section, click Add field.
- In the dropdown, select a custom field and then complete the required details for the custom field.
- Click Add to add the custom field and continue adding additional custom fields. Click Add & Close to add this one custom field only.
- Go to Contacts.
- Find your contact and click the contact's name.
- Under the Custom fields section, click Edit.
- Scroll down to the Custom Fields section.
- Click the X icon representing Remove.
- Click Save to save your changes.
