In Clio, only the primary subscriber and users with administrator permissions can change account settings. This includes adding new users, managing account licenses, and managing account settings.

Activate new account
Activating your account and getting started with Clio only takes a few steps. You will receive an email with a link to view the quote and submit your payment information. If you purchased both Clio Grow and Clio Manage, the quote will show the amount due for both products. Once payment has been completed, you will receive separate emails from Clio Manage and Clio Grow to create your accounts.
Note: If you are the primary subscriber and you did not receive an activation email, contact Clio's support team for assistance.
- Open the quote acceptance email and click Confirm and pay.
- This email will contain a link to the quote for both Clio Manage and Clio Grow if you purchased both products.
- On the quote acceptance page, review your quote details, enter your payment information, and accept Clio's Terms of Service.
- Click Make payment when you are finished.
- Open the account activation email and click Create account to get started with Clio.
Important: When activating a new Clio account, Clio links your email address to you as a single person. This means that you cannot sign up for more than one firm account with the same email address. If you need more than one firm account, you will need to use different email addresses. If you have both Clio Manage and Clio Grow, you will need to use same usernames for both products. As per Clio's Terms of Service, user profiles must have a unique email login and actual name for security and audit log purposes and to identify you in case of account recovery.
Manage licenses in Clio Manage
If your firm account is on an annual subscription, you can check your remaining user licenses and purchase additional user licenses in Clio Manage. Once purchased, you can send user invitations to invite new firm users onto your account. Learn more about inviting users here.
If you purchased Clio's Personal Injury Add-On, you can allocate and deallocate your available licenses to active firm users directly in Clio Manage. You cannot allocate licenses to deactivated users or to users who have pending invitations.
Note: Only administrators can manage licenses in Clio Manage.
Check and purchase Clio Manage licenses
- Go to Settings > Manage Users > Manage licenses.
- Click Add licenses if you need more licenses.
- Add the number of licenses you need and then click Update and pay.
Allocate and deallocate personal injury licenses
- Go to Settings > Manage Users.
- You can view the total number of personal injury licenses and the number of available licenses that your firm has in the Licensing Information banner at the top.
- Find the firm user who will receive the license.
- Under the Actions column, click the down arrow next to Edit and then select Allocate Personal Injury.
- You can only allocate a personal injury license to an active user.
- Once allocated, you can view which firm users have personal injury licenses under the Personal Injury column of the table.
- Go to Settings > Manage Users.
- Find the firm user who has the license that you want to deallocate.
- Under the Actions column, click the down arrow next to Edit and then select Deallocate Personal Injury.
Invite users in Clio Manage
In Clio Manage, you can invite a new user to join your account, invite users in bulk, and resend user invitations. Accounts on a monthly subscription can go into settings and add new users. Accounts on an annual subscription will need to first check how many licenses they have remaining and possibly buy more licenses. Learn more about managing licenses here. You can also resend user invitations if they expire.
Note: If you need to revoke an invitation that has already been sent to a user, you will need to contact Clio's support team.
Follow these steps to add a new user to your account in Clio Manage.
- Go to Settings > Manage Users.
- Select Invite User.
- Complete the user invitation details.
- The user's email is a required field, but you also have the option to add a message and choose whether the user is an attorney or non-attorney.
- The Groups and Permissions fields are optional when inviting a user but are recommended to be completed. Groups in Clio are a great way to categorize firm users and assign them to specific matters, allowing only certain firm users to view certain matters. You can use permissions to give users access to various account features that are specific to their job. Learn more about groups here and permissions types in Clio Manage here.
- Click Send Invite. The user will receive an email to finish setting up their account.
Note: The user invitation will expire in 24 hours.
Follow these steps to upload multiple users at the same time into your Clio Manage account.
- Open this template and populate it with your users' information. Once finished, save it to your computer.
- email: Enter the user's email address. Required
- first_name: Enter the user's first name. Required
- last_name: Enter the user's last name. Required
- initials: Enter the user's initials without any periods or spaces between letters.
- time_zone: Enter the user's timezone.
- address: Enter the user's street address.
- city: Enter the user's city.
- state: Enter the user's state or province.
- zip: Enter the user's zip code or postal code.
- country: Enter the user's country.
- phone: Enter the user's phone number.
- subscription_type: Enter either "Attorney" or "Non-attorney." Required
- Go to Settings > Manage Users.
- Select Bulk Import.
- Optional: Check the box for Send automatic welcome email if you want the users on the CSV file to receive a welcome email once they are imported.
- Click Choose File and select your completed CSV file.
- Click Upload CSV.
- If your import has any errors, click Download and fix to review the error report and then upload a new CSV file with the appropriate corrections.
Follow these steps to resend the user invitation in Clio Manage.
- Go to Settings > Manage Users > Invited.
- Verify the user’s email address and click Resend.
Invite users and manage invitations in Clio Grow
In Clio Grow, you can invite a new user to join your account, re-send the user invitation, and revoke the user invitation.
Follow these steps to add a new user to your account in Clio Grow.
- Go to Settings > Account.
- In the User settings section, click Invite user. The new modal will show how many licenses you have remaining on the account.
- Complete the user invitation details and click Confirm and send invites. The user will receive an email to finish setting up their account.
Follow these steps to resend the user invitation email.
- Go to Settings > Account.
- In the User settings section, click Re-send invite next to the user’s name.
- Confirm by clicking Re-send invite.
Follow these steps to cancel a user invitation.
- Go to Settings > Account.
- In the User settings section, click Revoke Invite next to the user’s name.
- Confirm by clicking Revoke invite.
Troubleshoot new user login
If a new user at your firm is having trouble logging in to their account, follow the steps below:
- Ask the new user to find and click the sign-up link in their email. If the user has previously been able to access the account, contact Clio's support team.
- Verify that the new user is using the email address that you sent the invitation email to.
- Verify that the new user is a user on the account in Settings > Manager Users.
Note: Firms with only one administrator should contact their internal IT or domain provider to gain access to their email and account. If this does not work, please contact Clio's support team. A sworn affidavit will be required to regain access to the account.
Change login email in Clio Manage
Administrators can change the login email for anyone at the firm other than the primary subscriber
Note: Changing the email address used to log in will update the email used for all email correspondence. If you previously synced your email for calendar sync, you will need to re-sync.
Follow these steps to change your own login email.
- Go to Settings > Profile > Change Login Email.
- Click Change email.
- Enter your new email and your password.
- Click Save.
Follow these steps to change the login email for another user on the account.
- Go to Settings > Manage Users.
- Under a user’s name, click Edit.
- Click Change Login Email.
- Enter the new email for the user and enter your password.
- Click Change Login Email.
Change login email in Clio Grow
In Clio Grow, administrators cannot change the user login information for other users at the firm. Administrators can, however, deactivate the user and add a new user if necessary. Follow the steps below to change your own login email.
Note: Changing the email address used to log in will update the email used for all email correspondence. If you previously synced your email for calendar sync, you will need to re-sync.
- Go to Settings > Personal.
- In the Security section, click Manage my security.
- Click Edit next to Email address.
- Enter your new email and your password.
- Click Save.
Manage logo and letterhead in Clio Grow
Your firm's logo and letterhead are used to show your firm's information on Clio Grow intake forms and documents. You can create a custom letterhead or upload a logo. If you create a letterhead, you can choose how you want the letterhead to appear. If you upload a logo, Clio Grow will automatically create a letterhead for you based on your firm information and the uploaded logo.
Note: Your account can only have one logo or letterhead.
- Go to Settings > Logo & letterhead.
- Next to Letterhead Settings, click Edit Letterhead.
- Customize how you want your letterhead to appear.
- You can upload an image, create up to three columns for the layout, change the font, and more.
- Click Save Letterhead.
- Go to Settings > Logo & letterhead.
- Click Edit Law Firm Info.
- Under Current Logo, click Choose File and then select your logo file..
- Click Update Law Firm Info.
